Position Overview The Frankfort Area Chamber of Commerce is seeking a dynamic, organized, energetic, and dependable "people person" Program & Events Coordinator to join our team. This is a hands-on position for someone who enjoys working with people, managing details, creating memorable events, and taking a project from the initial idea through execution and follow-up. The ideal candidate is a self-starter who takes initiative, anticipates needs, follows through, and can manage multiple priorities with limited supervision. This individual should be comfortable working in a fast-paced environment where no two days are exactly the same. This is an

position based in our Frankfort, Kentucky office and is scheduled for 37.5 hours per week. Because Chamber events occur at different times throughout the year, this position requires flexibility to work occasional early mornings and evenings. Key Responsibilities The Program & Events Coordinator will: Plan, organize, coordinate, and execute Chamber programs and events, including signature events such as the Annual Gala, Mingle at the Springhouse, Golf Scramble, networking events, professional development programs, and other Chamber activities. Manage all aspects of event logistics, including venues, vendors, catering, registration, event materials, signage, setup, breakdown, timelines, and guest experience. Assist in identifying, securing, and coordinating event sponsorships and maintaining positive relationships with Chamber sponsors. Communicate professionally and effectively with members, sponsors, vendors, volunteers, community partners, and event attendees. Develop and coordinate marketing materials for Chamber programs and events, including flyers, event promotions, social media content, email communications, and other promotional materials. Assist with managing Chamber social media and electronic communications to promote programs, events, members, and Chamber initiatives. Assist in website management. Maintain consistent Chamber branding across event and marketing materials. Help increase event participation, member engagement, and awareness of Chamber programs and services. Track event registrations, sponsorships, invoicing, payments, and outstanding accounts receivable associated with programs and events. Follow up on outstanding event and sponsorship accounts in a timely and professional manner. Coordinate post-event responsibilities, including sponsor recognition and thank-you correspondence, attendee surveys, event reporting, and collection of event metrics. Participate in post-event recap meetings and identify opportunities to improve future programs and events. Maintain organized records of contracts, budgets, event schedules, vendor information, sponsorship commitments, registrations, and other program documentation. Assist the President/CEO with meeting agendas, committee materials, special projects, and other Chamber initiatives as needed. Identify potential event risks and assist in implementing appropriate measures to protect attendees, staff, volunteers, and Chamber assets. Represent the Frankfort Area Chamber of Commerce professionally at Chamber programs, member functions, community events, and meetings. Provide exceptional customer service and respond to member and event-related questions promptly and professionally. Work collaboratively with Chamber staff, Board members, committees, Ambassadors, volunteers, and community partners. Manage multiple projects simultaneously while meeting deadlines and maintaining strong attention to detail. Perform other duties as assigned. Qualifications The successful candidate should possess: Previous experience in event coordination, nonprofit programming, hospitality, fundraising, marketing, or a related field. 3-5 years of relevant professional experience preferred , particularly in event planning, sponsorship development, marketing, hospitality, nonprofit organizations, or community-based organizations. Demonstrated experience coordinating events and managing event logistics from planning through completion. Experience working with sponsors, vendors, venues, and community partners. Strong written and verbal communication skills. Excellent interpersonal and customer service skills. Strong organizational and time-management skills with exceptional attention to detail. Ability to manage multiple projects, priorities, and deadlines simultaneously. Ability to work independently, take initiative, solve problems, and anticipate needs without requiring constant direction. Strong follow-through and a commitment to completing projects from initial planning through final reconciliation and post-event follow-up. Experience creating marketing and promotional materials and using social media for organizational or event promotion. General proficiency with computers, email, Microsoft Office or similar programs, social media platforms, and online event or registration systems. Ability and willingness to learn Chamber membership management, marketing, registration, and communication platforms. Professional demeanor and the ability to interact comfortably with business owners, community leaders, elected officials, members, volunteers, sponsors, vendors, and the general public. Physical & Scheduling Requirements This is an active, hands-on position that requires participation in event setup, execution, and breakdown.
The successful candidate must:
Possess a valid driver's license and have reliable transportation for travel to Chamber events, meetings, member businesses, and community activities. Maintain current automobile insurance meeting Kentucky requirements . Be able to lift, carry, load, and unload event materials, supplies, signage, and equipment weighing approximately 30-50 pounds, with or without reasonable accommodation . Be able to stand, walk, bend, reach, and assist with event setup and breakdown for extended periods, with or without reasonable accommodation. Be available to work occasional early mornings and evenings based on the Chamber's event and program schedule. Be able to travel locally to event venues, member businesses, meetings, and community activities. Be dependable and punctual, particularly for time-sensitive programs and events. Be willing to complete a background check and drug screening as a condition of employment. What We're Looking For We are looking for someone who doesn't simply wait to be told what needs to be done. The right person will see what needs attention, take initiative, ask questions when necessary, stay organized, communicate well, and follow through. This position requires someone who is equally comfortable working behind a computer, communicating with Chamber members and sponsors, creating an event promotion, and rolling up their sleeves to set up an event. A positive attitude, flexibility, professionalism, creativity, attention to detail, and a genuine interest in supporting our business community are essential to success in this role.
