Job Summary Job Type, Part-time Boone, NC Description:
The Inn at Crestwood is looking for a part-time Event Assistant to join our wedding and events department. The Event Assistant will work closely with the Event Coordinator to help ensure weddings, private events, and special functions are executed smoothly and professionally from planning through completion. This position is ideal for someone with hospitality or event experience who is organized, dependable, detail-oriented, and comfortable working in a fast-paced environment. The Event Assistant will report directly to the Event Coordinator , with the General Manager providing additional oversight. The Job A typical week for an Event Assistant will include assisting with event preparation, communicating with vendors and clients as directed by the Event Coordinator, helping set up and execute weddings and events, and completing administrative and organizational tasks during the week. The Event Assistant must be willing to work weekends and evenings , as many of our weddings and events take place during these times. During slower event periods, the position will also assist with administrative work during the week, including organizing event details, preparing materials, updating files, and other duties assigned by the Event Coordinator.
Job Duties Include:
Assist the Event Coordinator with planning, preparation, and execution of weddings and special events. Assist with event setup, breakdown, room layouts, décor, tables, chairs, linens, and other event-related details. Help ensure events run smoothly and according to established timelines and plans. Assist with coordinating vendors, deliveries, rentals, and other event-related services. Provide professional and friendly service to wedding couples, guests, vendors, and clients. Assist with guest questions and requests during events and promptly communicate concerns to the Event Coordinator. Help monitor event spaces throughout the event to ensure they remain clean, organized, and properly maintained. Assist with administrative duties during the week, including organizing event information, preparing documents, updating schedules, and maintaining event files. Help prepare event materials, checklists, timelines, and other documents as directed. Communicate effectively with the Event Coordinator and other departments to ensure all event needs are addressed. Assist with pre-event and post-event walkthroughs and inspections. Maintain a professional appearance and represent The Inn at Crestwood in a positive manner. Perform other duties as assigned by the Event Coordinator or General Manager. What would make me successful in this role? 1-2 years of experience in event planning, hospitality, weddings, catering, or a related field. Previous experience working weddings or special events is strongly preferred. Passion for hospitality and creating exceptional guest experiences. Strong organizational skills and excellent attention to detail. Ability to multitask and prioritize responsibilities in a fast-paced environment. Professional, friendly, and confident communication skills. Ability to work independently while also being an effective member of a team. Reliable, dependable, and willing to take initiative. Ability to remain calm and professional under pressure. Willingness to work a flexible schedule, including weekends, evenings, and holidays as needed . Willingness to perform administrative and organizational work during the week. Ability to lift, move, and assist with event equipment and décor as needed.
