Gorecki Alumni Center Events Manager The UND Alumni Association & Foundation is seeking a GAC Events Manager to lead the planning, coordination, sales, and marketing of events at the Gorecki Alumni Center and Hopper Danley Spiritual Center . POSITION SUMMARY
The GAC Events Manager will plan and execute events on behalf of the Gorecki Alumni Center and Hopper Danley Spiritual Center. This position is required to ensure that events at the Gorecki Alumni Center and the Hopper Danley Spiritual Center are executed to reflect the level of prestige of the buildings and organization. The GAC Events Manager will lead the sales and marketing efforts for both venues to ensure maximum usage and profitability. This position will identify, coordinate, and maintain relationships with approved caterers and vendors to support GAC and Hopper Danely Spiritual Center events. This person must have a demonstrated ability to be self-directed and work as part of a team in a collaborative, fast-paced environment. This position will require some early mornings, late evenings, and occasionally weekends depending on the event schedule.ESSENTIAL FUNCTIONS EVENT MANAGER
Work with Gorecki Alumni Center & Hopper Danley Spiritual Center clients to coordinate event logistics. Hold client meetings to gather event details and make floorplan recommendations; facilitate furniture and equipment needs, audio/visual needs, reserve parking, vendor coordination, request directional signage, etc. Ensure all services provided meet or exceed the clients' expectations. Communicate revisions and most current information to caterers, vendors, Student Event Coordinators and Event Flip Crew Effectively handle last-minute changes or requests while also using resources and skills to solve problems as they arise. Manage the GAC processes, procedures, checklists, contracts, vendor relationships, service expectations, and software to include TripleSeat, Social Tables, WhenToWork Oversee all sales, contracts, and billings to include rental contracts determining fees and terms of contracts. Manage established vendor relationships. Manage the sales and marketing plan to include social media efforts for the GAC Seek out opportunities to promote the GAC through appropriate platforms. Review and submit billing worksheets to ensure accuracy of payment. . Maintain inventory of event related equipment and furniture and ensure that the event spaces in the Gorecki Alumni Center and Hopper Danley Spiritual Center are equipped to operate effectively. Serve as supervisor for the Student Event Coordinator and Event Flip Crew to provide leadership, communicate expectations, coordinate, and create staffing for shifts and oversee timecards. Direct Gorecki Alumni Center Event Flip Crew to assure appropriate staffing, scheduling, accuracy of event set up and venue preparation.GORECKI BUILDING
Assist the Gorecki Alumni Center Building Manager and serve as the designated backup when the building manager is unavailable. Serve as the liaison to UND Facilities as they provide ongoing operations and maintenance of the Gorecki Alumni Center and the Hopper Danley Spiritual Center. Ensure building maintenance, with regard to parking, grounds maintenance, cleaning, repairs and event security, is attended to with the support of the Gorecki Alumni Center Building Manager. Member of the Safety Committee and Hi5 Committee.EDUCATION AND EXPERIENCE REQUIREMENTS
Education:
Bachelor's degree required.Experience:
1-2 years of event planning, hospitality, or customer service experiencePHYSICAL & COGNITIVE REQUIREMENTS
Ability to operate computers, telephones, and other standard office equipment. Ability to focus and complete work in a timely manner. Ability to travel independently via car and air. Ability to frequently bend, stoop, squat, and lift or move objects up to 50 pounds. Current CPR/AED & First Aid CertificationCOMPETENCIES
