Event & Development Administrator

Job Description

The Event & Development Administrator will support the events and programs managed by the Jewish Federation of Southern New Jersey (JFSNJ) and other agencies within JFSNJ as assigned. Events and programs will include, but are not limited to, fundraisers, educational programs and community engagement activities. The Event & Development Administrator should have a background in hospitality, event planning, programming, and logistics. The role requires the ability to coordinate and execute multiple events concurrently and manage administrative tasks that ensure seamless event operations. The role requires exceptional organizational skills, attention to detail, a strong ability to communicate across all lines of business, and the capacity to thrive in a fast-paced environment.
Job Responsibilities:
Event Planning & Coordination:
Assist in the planning and coordination of programs and events ensuring all logistics are in place.
Logistics & Operations:
Assist with event research, venue bookings, vendor arrangements (catering, AV, dcor) and day-of logistics, etc.
Administrative Support:
Manage registration lists, update databases, manage contracts, and maintain accurate records related to events and programs.
Customer Service:
Handle inquiries, provide on-site assistance and ensure attendees receive all necessary information in timely and thoughtful manner.
Budget & Expenses:
Assist in budget tracking, processing invoices and credit card reconciliation.
Licensing & Permitting:
Coordinate and track event related permitting on behalf of Events Department.
Cross Department Collaboration:
Partner with Development team on fundraising initiatives, including event-related donor and sponsor engagement activities.
Sponsor Coordination:
Support sponsor identification efforts, assist with solicitation outreach, and coordinate follow-up with sponsors on event-related items including logistics, materials, and recognition.

Strong logistic skills should include attention to detail, planning, scheduling and creative thinking.

Partner and support with event professionals representing other agencies within the JFSNJ as assigned. Provide coverage and resources for other positions related to event planning - cross training. Perform all other duties assigned. Flexible schedule, some evenings and weekends required
Required Education & Experience:
Event / Hospitality Coordination Customer Service Logistics / planning background
