Director of Food & Beverage Position Summary The Sales and Events Manager will promote the Club's banquet and member event spaces and is directly responsible for the comprehensive sales, administrative and operational aspects of preparing and selling group business events or related business parties. The Sales and Events Manager will directly oversee all aspects of private banquets for business meetings and will assist with other members and sponsored event banquet activities. The Sales and Events Manager will work with food and beverage operational departments to assure that the members' and guests' expectations are exceeded and the highest quality food and service are delivered. The Sales and Events Manager will play a hands-on, visible and operational role as needed, in accordance with the Buffalo Club's standards. Essential Functions and Responsibilities Promotes, advertises and markets the club's business event facilities and capabilities to all members. Maintains past and potential client information; schedules calls or visits to assess ongoing needs of prospective clients for banquet services. Work in conjunction with the communications director to market member events to increase awareness and business. Submit marketing information to marketing in preparation for the newsletter in a timely manner. Conducts market research of other club's banquet and events departments. Assumes responsibility of manager-on-duty when necessary. Help clients arrange banquets, luncheons, meetings, and other business-related events; obtain pertinent information needed for planning. Arranges with the event's sponsors particulars such as menu, music, flowers and decorations. Quotes prices and formulate contracts detailing the services to be provided in accordance with club policies regarding member and non-member functions. Works with the Food and Beverage Director and/or Executive Chef to determine selling prices, menus and other details for catered meeting events; oversee the development of contracts; assures that pre-planned banquet menu offerings are current and reflect general member interests necessary for business functions. Transmits necessary information to and coordinates event planning with operations, and housekeeping supervisors or managers; arranges for or directly prints necessary menus, procuring of decorations, entertainment and other special requests, etc. Inspects arrangements, consults with event sponsors on last-minute details, and fields any member or guest complaints that may arise. Creates diagrams for events under realm of responsibility; checks all room set ups according to the diagram. Details banquet item placement and related function details. Checks function sheets against actual room setup. May help supervise service personnel for event responsibility. Present during the greeting of guests, introduces host to operational managers or captains. Meets, greets member or client prior and during function as well as after the event to ensure all needs are met or exceeded. Responsible for hands-on service work when needed and orchestrating events when necessary. Adheres to banquet planning process; ensuring all details are listed on the BEO. Communicate all banquet information through the proper procedure. Ensuring all information is distributed in a timely fashion as necessary. Immediately respond to any guest issues and develop action plans to correct continuous issues. Assist with setting up and decorating for member events by using what the club already owns before purchasing new décor. Works with Food and Beverage leadership to coordinate personnel requirements for service. Actively manage and be present for all club events and large events when needed. Inspect banquet areas daily prior to each shift for proper setup, cleanliness. Administrative Functions Sends and collects member/guest attendance information. Complies information and relays to the accounting department to ensure UBIT compliance. Assists with the development of budgets; reviews financial reports and takes corrective actions as appropriate to help assure that budget goals are met. Attend Entertainment and Special Events Planning Committee meetings. Attend staff and management meetings to review policies and procedures, future business and to continually develop quality and image of banquet functions. Completes an estimated Profit/Loss budget for each member business event; submits an actual Profit/Loss Statement following the conclusion of the event. Projects for future member business event pricing based on previous P/L's. Provides ideas to increase revenue in meeting packages and corporate events. Comply with all charges according to contracted services for billing department. Respond to any process issues and develop action plans to correct continuous issues with the F&B Director or other Operational Managers or Supervisors. Perform administrative duties including daily change logs, event reviews, ensuring banquet function are billed properly and free of error. Attend all required meetings. Ensures daily calendar is always up to date Compiles all member event menus from the kitchen each quarter In addition, other duties may be required as directed by your management.
General Requirements:
Complies and carries out job within the spirit of The Buffalo Club's Vision & Mission. Interact with the members and coworkers in a pleasant and professional manner Perform all work in accordance to safety standards and guidelines. Report any incidents or injuries to the supervisor immediately.
Education and Experience:
Minimum 3+ years of banquet or sales related role. High School Degree or equivalent required, Bachelor's Degree in hospitality or a related field preferred. Private club/country club experience strongly preferred.
Work Environment and Physical Requirements:
Physical exertion over long periods of time. Spending at least 50% of shift walking through or standing in the Club. Must be able to lift and carry 45-pounds. Must be able to bend, stretch, twist or reach, walk, stand, stoop, climb stairs, balance and/or crouch, kneel over the course of a shift. Must be able to use hands to finger, handle, feel or operate objects, tools, or controls; and reach with hands and arms Prolonged periods of sitting at a desk and working on a computer. Ability to regularly sit; use hands to finger, handle, or feel; reach with hands and arms; and talk or hear. Vision abilities required by this job include close vision, distance vision, depth perception, and ability to adjust focus.
Pay:
Up to $75,000.00 per year
