Job Description

The Hillcrest Estate is seeking an organized, energetic and hospitality-minded Venue & Events Coordinator to join our growing team. This is a permanent part-time position with hours that naturally fluctuate throughout the year. During wedding season, team members can expect approximately 10-20 hours per week , with additional hours available during busy event weekends. During the winter and early spring, hours typically range from 5-20 hours per week , with a focus on client experience, planning, venue development and special projects. As Hillcrest continues to grow—including the upcoming launch of Terra at Hillcrest in Spring 2027 —this role offers the opportunity to grow alongside one of Western New York's premier wedding and event venues. Working closely with our Founder and Venue Director, you'll support client planning, coordinate weddings and events, build relationships with vendors, and help create exceptional guest experiences from the first planning meeting through the final celebration. Responsibilities Support clients throughout the planning process after booking. Prepare timelines, floor plans and event planning documents. Coordinate vendors and event logistics. Create event setup plans and staff task sheets. Assist with planning meetings, rehearsals and wedding-day coordination. Help manage the client planning portal and client communication pipeline. Organize and maintain the venue's rental catalog and planning resources. Coordinate styled shoots, tasting events, venue showcases and other client-facing initiatives. Assist with corporate, private and public events as Hillcrest continues to grow. Help develop venue guides, checklists and systems that improve the client experience. Jump in wherever needed—including setup, décor, serving, guest assistance or other event responsibilities—to ensure every event runs seamlessly. We're Looking For Someone Who Is Highly organized and detail-oriented. Warm, professional and hospitality-focused. Calm under pressure and an excellent problem solver. A strong communicator who enjoys building relationships. Comfortable leading others while also working as part of a team. Willing to roll up their sleeves and help wherever needed. Excited to grow with a locally owned business that continues to expand. Wedding, hospitality or event experience is preferred, but a positive attitude, exceptional organizational skills and a passion for creating memorable experiences are most important. Compensation & Schedule $20.00-$27.00 per hour , based on experience and qualifications. Permanent part-time position. Approximately 10-20 hours per week during wedding season, with additional hours available during busy event weekends. Approximately 5-20 hours per week during the off-season, focused on client planning, venue development, special projects and occasional events. Flexible scheduling around our event calendar. Weekend and evening availability are required, including Friday rehearsals and Saturday weddings. On-the-job training and mentorship provided by Hillcrest's Founder and Venue Director, with opportunities for continued professional growth as the business expands. This position is ideal for someone who enjoys helping build new ideas—from weddings and corporate events to tasting experiences, venue showcases and future public events—and wants to play a meaningful role in the continued growth of The Hillcrest Estate.
