Job Summary We are seeking a dynamic and energetic Event Coordinator to lead the planning, organization, and execution of a diverse range of events. This role is vital in creating memorable experiences that align with our brand vision and client expectations. The ideal candidate will possess a passion for event marketing, exceptional organizational skills, and a proactive approach to managing all aspects of event logistics. As an Event Coordinator, you will collaborate with internal teams and external vendors to deliver seamless events that captivate audiences and foster lasting relationships. Responsibilities Develop comprehensive event plans, including timelines, budgets, and resource allocation, ensuring all objectives are met efficiently. Coordinate with clients to understand their vision, needs, and preferences, providing expert guidance on event marketing strategies. Manage vendor negotiations to secure favorable terms for services such as catering, entertainment, decor, and technical support. Oversee event setup and breakdown, ensuring all elements are executed flawlessly while maintaining high standards of guest services and hospitality. Utilize event management software and CRM systems to track client information, manage schedules, and streamline communication. Monitor and manage event budgets diligently, ensuring cost-effective solutions without compromising quality. Lead project management efforts by coordinating teams, assigning tasks, and ensuring timely completion of all event-related activities. Implement upselling techniques during client interactions to enhance revenue opportunities through additional services or upgrades. Conduct post-event evaluations to gather feedback, analyze success metrics, and identify areas for improvement. Maintain excellent communication with clients, vendors, and team members to ensure clarity and alignment throughout the planning process. Experience Proven experience in event planning or management within the hospitality industry or related fields. Strong negotiation skills with a track record of securing advantageous vendor agreements. Demonstrated ability in managing event budgets from inception through execution. Proficiency in Microsoft Office suite (Word, Excel, PowerPoint) along with familiarity with event management software and CRM systems. Exceptional organizational skills with the ability to multitask effectively under tight deadlines. Excellent customer service skills with a focus on guest satisfaction and hospitality standards. Experience in team leadership and coordinating cross-functional teams for large-scale events. Knowledge of marketing principles related to event promotion and upselling strategies. Strong communication skills—both verbal and written—to liaise confidently with clients and stakeholders. Technical proficiency in managing various aspects of events including audiovisual setups, technical equipment, and venue logistics.
