Job Summary Working closely with the Senior Director of Philanthropy & Special Events, the Special Events Coordinator provides comprehensive administrative, creative, and logistical support for Kinexion's special events. The ideal candidate is highly organized, proactive, and committed to delivering exceptional service to donors, sponsors, volunteers, and community partners. The successful Special Events Coordinator keeps fundraising operations organized, donors engaged, events running smoothly, and development projects moving forward. This individual anticipates needs, communicates effectively, and serves as a trusted partner to the Senior Director of Philanthropy and Special Events, helping strengthen relationships that advance the organization's mission. Duties/Responsibilities:
  • Assist the Senior Director of Philanthropy with the coordination, planning, and implementation of affiliate network-wide fundraising events, including but not limited to the Kinexion gala, golf outings, cocktail receptions, and special events from initial planning through post-event follow-up.
  • Coordinate event invitations, registrations, RSVP tracking, seating, guest communications, and event giveaways.
  • Generate reports, guest lists, sponsorship tracking, and event summaries.
  • Using Canva, design event signage, journal ads, social media, and other promotional pieces.
  • Coordinate the organization, storage, inventory, packing, transportation, setup, and return of event equipment and supplies, including but not limited to registration materials, event materials, auction and raffle materials, signage, table décor, and easels.
  • Assist in coordinating all aspects of live and silent auctions, raffles, and other event fundraising activities.
  • Assist in preparing event materials and checklists to ensure consistency across all fundraising and special events.
  • Work with the Donor Relations Database Coordinator to maintain and update donor records in the database and add notes on meetings, relationships, and interests of donors as they become known.
  • Assist with communication as it pertains to fundraising and events, including but not limited to phone calls and emails to donors.
  • Coordinate post-event acknowledgments and reporting.
  • Support on-site event operations and ensure an exceptional guest experience.
  • Represent the organization professionally with donors, volunteers, vendors, and community partners.
  • Keep the Executive Director of Philanthropy and the Sr. Director of Philanthropy informed of all pertinent information.
  • All other duties as assigned. Position Requirements and Qualifications Required
  • Bachelor's degree or work history equivalent.
  • Experience in Not-For-Profit industry preferred
  • Strong interpersonal, written, and oral communication skills
  • Strong organizational and project management skills with exceptional attention to detail
  • Strong Microsoft Office skills: Excel and Word
  • Strong graphic arts skills, especially in CANVA
  • Ability to handle all responsibilities with the highest level of confidentiality
  • Knowledge of fundraising software, social media platforms, and digital marketing
  • Must be able to work regularly on site.
  • Able to lift 50 pounds

$80,000.00 per year
