Our team combines creativity, exceptional customer service, and flawless execution to bring our clients' visions to life. We are looking for a detail oriented, organized, and dependable Event Design Assistant to support our Decor team. This position combines administrative coordination, client and vendor communication, creative support, and hands on event execution. The ideal person is someone who notices the details others miss, enjoys keeping multiple projects organized, follows through on commitments, learns new systems quickly, and takes pride in doing things accurately. You are comfortable managing lots of details and changing timelines, ask good questions when you need clarification, communicate promptly and professionally, and are willing to jump in wherever support is needed. This is a creative and hands on position, but it is not a traditional graphic design role. You will spend time both at a computer managing project details and on site supporting decor preparation, styling, and event installations. We are looking for someone who enjoys the combination of organization, creativity, client interaction, and event execution. What You'll Do
- Project Coordination and Administration Support the Head of Design with multiple active decor projects and contracts simultaneously Track deadlines, client selections, revisions, outstanding action items, and changing event details Prepare accurate proposals, contracts, presentations, and supporting documentation Maintain detailed records of event layouts, rental selections, design concepts, color palettes, floor plans, inspiration boards, and client preferences Enter and maintain event information, pricing, inventory selections, contracts, and client communications in company systems Organize project files and maintain accurate digital records•Client and Vendor Communication Communicate with clients and vendors in a friendly, professional, timely, and effective manner Respond to inquiries and follow up on outstanding information Schedule appointments and coordinate project details Help translate client conversations and design decisions into accurate documentation Coordinate with Sales, Operations, Warehouse, and vendor partners to ensure event details and design specifications are communicated accurately•Creative Support Assist the Head of Design with design presentations, mood boards, visual proposals, and other client facing materials Support the creative vision through attention to color, texture, spatial layout, and visual presentation Assist with decor preparation and styling Help organize and prepare materials and elements needed for upcoming events•Event Support and Installation Assist with on site event installations and production as needed Support decor placement, styling, signage, drape, table settings, florals, and other event elements Help ensure decor is installed and presented according to the approved design and event specifications Work comfortably on your feet and in a hands on event environment during installations•Problem Solving and Follow Through Notice missing information, discrepancies, or potential scheduling conflicts and bring them to the appropriate person's attention Double check details and help prevent errors before they affect the client or event Ask questions when something is unclear rather than making assumptions Adjust to changing client requests, timelines, and event details Jump in and provide support wherever needed to keep projects moving forward What We're Looking For The right person is: Extremely detail oriented and highly organized Able to manage multiple projects, contracts, deadlines, and details simultaneously A quick learner who can learn new software, systems, and processes quickly and confidently Curious and comfortable asking questions Someone who catches details and follows through without needing constant reminders Friendly, responsive, and professional with clients, vendors, and coworkers Dependable and supportive of the team Comfortable working independently while knowing when to ask for direction Adaptable when priorities and event details change Willing to step in and help wherever needed Comfortable working both at a computer and in a hands on event environment An appreciation for design, color, texture, spatial layout, and visual presentation is important.
Experience in any of the following is a plus: Event planning or event design Interior design Visual merchandising Event styling Floral design Fashion Hospitality Graphic design Photography or other creative fields You do not need to have experience in every area. We are looking for someone who is curious, trainable, and genuinely interested in learning. Technology Skills Proficiency with Microsoft Word, Excel, Outlook, and PowerPoint Working knowledge of Adobe Creative Suite, including Illustrator and Photoshop Experience with InDesign or Canva is a plus Social media experience is a plus What Success Looks Like You keep track of the details so nothing falls through the cracks, notice when something doesn't look right or information is missing and speak up, and follow through so others can count on you to do what you said you would do. You communicate quickly and clearly when something changes or you need clarification, learn new software and processes without being afraid to ask questions, and manage several moving pieces without losing track of the details. You enjoy supporting your team and are willing to jump in when something needs to get done, and you take pride in accurate work and in helping the people around you be successful. Schedule:
This position requires some flexibility around event schedules and may include occasional evenings and weekends.
