About the
Role:
The Meeting & Events Planner serves as the primary owner of meeting and event planning services for the Spring House campus. The role manages the complete event lifecycle and partners with clients, campus teams, and vendors from initial consultation through onsite execution and follow-up. Spring House is a large, high-profile campus supporting approximately 2,000 employees and nearly 100 conference rooms. The campus hosts executive leadership visits, customer engagements, scientific events, town halls, training programs, and strategic business initiatives. The planner exercises independent judgment, proactively resolves issues, and serves as the central point of coordination for meeting and event delivery.
What You'll Do :
  • Develop end-to-end event plans and detailed timelines to support successful execution from initial request through completion.
  • Consult with clients to understand event objectives, recommend solutions, and coordinate room setups, floor plans, catering, audio visual support, security, registration, scheduling, signage, and related logistics.
  • Manage conference room reservations, shared mailboxes, Outlook calendars, and event approval workflows.
  • Facilitate planning meetings with clients, campus service partners, and vendors. Document responsibilities, deadlines, and escalation needs.
  • Review event orders create floor plans, and communicate setup or teardown details and schedules to supporting teams and vendors.
  • Serve as the primary point of contact throughout the event lifecycle and the onsite lead on the day of the event.
  • Coordinate executive, VIP, customer, scientific, government, town hall, training, poster session, and multi-room events.
  • Conduct event readiness reviews and onsite inspections to verify that spaces are properly configured, safe, and event-ready.
  • Confirm vendor arrival and load-in requirements, setup times, and event-day access needs.
  • Collaborate with Facilities, Catering, Audio Visual, Security, Housekeeping, Building Operations, and external vendors to support event delivery.
  • Support event setup and teardown, guest arrival, wayfinding, and attendee or speaker requests as needed.
  • Proactively troubleshoot issues, resolve service gaps, and escalate concerns through the appropriate campus channels.
  • Complete post-event reporting, reconciliation, and client follow-up. Recommend improvements that strengthen service quality, process efficiency, and the attendee experience. Spring House Operational Support
  • Support event operations across campus meeting, event, and shared-use spaces.
  • Manage weekly scheduling and related logistics of merchandise vendor program.
  • Support poster sessions, town halls, campus engagement programs, and other large-scale or complex campus events.
  • Communicate needs and confirm readiness of event-related requirements, including furniture, signage, easels, waste receptacles, registration materials, and venue access. Leadership & Ownership
  • Take responsibility for the end-to-end planning and coordination of meetings and events, ensuring all requirements are executed successfully from intake through post-event follow-up.
  • Use sound judgment, make informed decisions, and remain accountable for event outcomes.
  • Build productive partnerships with clients, campus stakeholders, service providers, and vendors.
  • Maintain a thorough understanding of campus services, operating procedures, venue capabilities, and escalation pathways.

  • Work within established procedures while identifying practical opportunities to improve event quality, service delivery, and client satisfaction.
  • Communicate clearly, ask questions, confirm understanding, and keep stakeholders informed of changes or risks.
