JOB SUMMARY:
The Coordinator, Events and Culture will be responsible for administrative tasks such as scheduling meetings, making travel arrangements, processing invoices and reconciling payments. This position will also be responsible for coordinating projects that support internal and external organizational meetings and events. Specific responsibilities include assistance with expertise center meetings and conferences, venue research, ordering of supplies, inventory tracking, and coordinating the shipping and tracking of materials and exhibit booth properties to public health conferences.
DUTIES/RESPONSIBILITIES

  • ESSENTIAL DUTIES): Provide outstanding customer service to internal and external contacts and maintain positive professional relationships while performing tasks such as calendar management and responding to inquiries. Exercise diplomacy, confidentiality and good judgment.
  • Coordinate scheduling and assist with logistical arrangements for internal and external meetings and events. social responsibility activities and events. Place catering orders, forward meeting invitations and agendas, and meeting summaries.
  • Traffic and process, in a timely manner, estimates, check requests and invoices for approval and payment.
Reconcile and process monthly billing statements from American Express, vendors, and hotels and restaurants as needed. Coordinate and play a key role in the planning and on-site execution of organizational events. This would include but not limited to reserving conference rooms, submitting tickets for IT support and staffing event registration and exhibit booths during outreach opportunities Assist with maintaining the organization's meeting and event supplies, inventory of branded materials and hardware (i.e. exhibit booth) and box, ship and track, as needed.
  • Assist with the organization's online travel platform by serving as liaison between customer service personnel and Truth Initiative staff.
Using approved criteria, research local event space venues, dining and social activities when applicable. Perform other duties based on the needs of the Expertise Center and the organization.
REQUIRED QUALIFICATIONS
The ideal candidate will have a bachelor's degree or equivalent work experience. 1-3 years of experience in an events company or nonprofit organization. Must have strong organizational skills. Demonstrated ability to meet deadlines while working on multiple projects Excellent oral and written communication skills, including the ability to present ideas and information clearly. Outstanding attention to detail. Candidate should have demonstrated proficiency with common software programs. Some travel and the ability to work a flexible schedule when needed is a requirement. Candidate must be able to lift 25-30 lbs.
ADDITIONAL INFORMATION
This position is based in Washington, D.C. with a hybrid work schedule of three days in the office and two telework days.
COMPENSATION PACKAGE
The salary range for this role is starting at $60,000-$62,000per year on a national basis. Individual pay decisions are based on a number of factors, including but not limited to qualifications for the role, relevant work experience, skillset, internal equity, location, and certifications, consistent with applicable law. Salary is just one part of our total rewards package which additionally includes performance bonus for eligible roles, and competitive benefits.
