Job Description

Effortless Meetings & Events is a small, growing event agency specializing in corporate meetings, conferences, incentive programs, and special events. We're looking for a talented, organized, and creative Corporate Event Planner / Event Manager to join us full-time and become an important part of our team. We're looking for someone with around 2-5 years of experience. What You'll Do You'll be involved in all aspects of corporate event planning and management, including: Manage multiple events and projects from initial planning through onsite execution and post-event follow-up Communicate directly with clients, hotels, venues, and vendors Research and negotiate hotel and venue contracts Manage rooming lists, registration details, event orders, timelines, and other event documentation Coordinate food & beverage, catering, entertainment, décor, transportation, audiovisual, and other event vendors Create and manage event budgets, project plans, timelines, and checklists Track contracts, deposits, invoices, and payments Develop event themes, concepts, décor ideas, and creative experiences Participate in site visits, vendor meetings, and planning meetings Travel to events and be onsite to manage event logistics and execution Troubleshoot issues calmly and professionally when things don't go according to plan Help ensure every event is executed seamlessly and provides an exceptional client experience What We're Looking For Organization and attention to detail are essential. We're looking for someone who can keep track of hundreds of moving pieces without losing sight of the big picture.
The ideal candidate will have:
Professional event planning or event management experience (around 2-5 years) Experience planning corporate meetings, conferences, incentives, or similar events Strong project management and organizational skills Exceptional attention to detail Knowledge of Excel and Google docs; experience in Cvent is a plus Experience creating and managing budgets Strong written and verbal communication skills The ability to manage multiple projects, deadlines, and priorities at once A creative eye and enthusiasm for event themes, décor, branding, and guest experiences Confidence communicating with clients and vendors The ability to work independently and take ownership of projects A calm, solutions-oriented approach when challenges arise Willingness and ability to travel for events Proficiency with common business and project-management tools The Right Person for Our Team Because we're a small agency, personality and work style matter just as much as experience .
