Job Description

Position Overview Rae's Events is seeking a adaptable, proactive, and energetic Temporary Day-of Coordinator to join our team. Our primary goal is to deliver exceptional service, maintain a positive atmosphere, and manage logistics seamlessly so our couples and their guests feel completely cared for throughout their event. In this role, you will act as the on-site point of contact, ensuring timelines run smoothly while solving problems on the fly.
Core Responsibilities Timeline & Event Logistics:
Execute the run-of-show, managing the ceremony, cocktail hour, and reception flow. Guide the couple gently through the timeline, adjusting flexibly as needed. Greet and oversee vendors, direct them to setup areas, and support them if they fall behind schedule. Oversee setup and breakdown of core elements (e.g., welcome table, seating chart, guest book).
Client & Guest Care:
Provide empathetic, supportive care to the couple; offer drinks, arrange meal service, and ensure they take breaks. Greet guests upon arrival and direct them through event spaces. Gently redirect guests from disrupting photo sessions or pulling the couple off-schedule. Assist photographers during post-ceremony photo sessions by calling names using the photo list.
On-Site Problem Solving & Team Support:
Anticipate potential issues and resolve them discreetly without stress to the couple. Assist with minor day-of tasks as bandwidth permits (e.g., bouquet placement, dress bustling coordination, light table clearing) without compromising core timeline duties.
Required Qualifications & Attributes Traits:
Exceptionally calm under pressure, organized, proactive, and highly adaptable.
Communication:
Strong interpersonal skills to manage vendors, guests, and bridal parties with tact and professionalism.
Brand Representation:
Professional demeanor at all times. Strict adherence to non-drinking and non-smoking/vaping policies in front of guests during working hours.
Preparedness:
Ability to work on your feet for long hours, bring personal essentials, and maintain high energy.
Work Conditions & Expectations Attire:
Standard uniform of a black knee-length dress or black slacks paired with a black polo or button-down shirt, neutral shoes, and a watch. A crossbody bag (equipped with a pen, safety pins, hair ties, etc.) is strongly encouraged.
Shift Timing & Breaks:
Shifts vary based on event schedules. Designated break times occur during post-ceremony, guest meal service, or open dance floor periods. Many jobs take place in
