Temporary Gala Event Assistant Pay rate: $20 to $28 per hour Depending on experience
Location:
Hybrid / Remote (On-site requirement in Long Island, NY on Dec 15 & 16)

  • Dec 14: ~20 hours/week Dec 15 & Dec 16: On-site event support Position Overview We are seeking a detail-oriented and proactive Temporary Gala Event Assistant to support the administration and execution of the upcoming Long Island Advancement Gala.
Reporting directly to the Director of Advancement and Engagement, this role is critical to maintaining smooth event logistics, budget accuracy, and sponsor communication leading up to and during the main event. Key Responsibilities Maintain and update event guest lists, sponsor details, and seating requests using advanced Excel spreadsheets. Generate and deliver accurate daily administrative, registration, and status reports to leadership. Coordinate directly with event sponsors to collect journal ads, high-resolution logos, and specific seating preferences. Collaborate with the Director to track event revenue, expenses, and overall budget updates. Provide hands-on assistance during set-up the day prior (December 15) and deliver live execution support on gala day (December 16). Qualifications & Requirements High proficiency in Microsoft Excel and the broader MS Office Suite. Strong organizational skills with the ability to prioritize tasks in a fast-paced environment. Excellent written and verbal communication skills for sponsor outreach. Ability to work remotely independently, with guaranteed availability for on-site attendance in Long Island on December 15-16, 2026.
