Mike Williams and Jack Eason Position Summary The Speaker Relations & Engagement Coordinator is responsible for growing and managing speaking opportunities for Mission Ambassadors while ensuring every engagement is organized, professional, and strategically connected to the mission of CUPS Mission. This position owns the process from the initial outreach to a church, school, conference, radio partner, ministry event, comedy venue, concert, or other organization through booking, calendar management, travel coordination, event preparation, onsite support when required, and post-engagement follow-up. The goal of this role is not simply to fill a calendar. The coordinator should strategically place Mike and Jack in environments where they can effectively share the work of CUPS Mission, strengthen relationships, develop new ministry partnerships, and create opportunities for churches and individuals to become more deeply involved in the mission of rescue, transformation, and prevention . Key ResponsibilitiesSpeaking Engagement Development, Booking, and Follow Up Proactively identify churches, conferences, schools, universities, radio partners, ministry events, comedy venues, music events, and other organizations that are potential speaking opportunities for Mike Williams and Jack Eason. Conduct consistent outbound outreach by phone, email, and other appropriate communication channels. Make no fewer than 75 outbound booking calls per week . Develop relationships with pastors, ministry leaders, event coordinators, promoters, venue representatives, and other decision-makers. Maintain an active and measurable pipeline of prospective speaking opportunities. Follow up consistently with prospective organizations until an engagement is booked or a clear decision is received. Coordinate engagement details including dates, speaking times, audience, event format, honorarium, ministry opportunities, and expectations. Look for opportunities to develop repeat engagements and long-term partnerships rather than treating engagements as one-time events. Maintain accurate records of outreach, conversations, next steps, and booked engagements. Annual Booking Expectations This is a results-driven position with clear annual booking requirements.The coordinator is expected to:
Book Mike Williams for a minimum of 50 events or engagements per year . Book Jack Eason for a minimum of 40 speaking engagements per year . Maintain a strong enough pipeline throughout the year to support these minimum booking targets. Track bookings against monthly, quarterly, and annual goals. Proactively address gaps in the calendar before they become a problem. Calendar Management Manage the speaking and travel calendars for Mike Williams and Jack Eason. Ensure speaking engagements, travel days, meetings, and other commitments are accurately reflected on their calendars. Prevent scheduling conflicts and maintain appropriate travel and preparation time between engagements. Confirm engagements with host organizations prior to the event. Maintain visibility of upcoming engagements for appropriate CUPS Mission staff. Coordinate calendar changes quickly when events are moved, canceled, or rescheduled. Travel Coordination Coordinate travel arrangements associated with speaking engagements. Book flights, hotels, rental vehicles, and other transportation as needed and within approved guidelines. Prepare clear travel itineraries for each trip. Communicate arrival times, transportation needs, lodging information, and event schedules with host organizations. Ensure Mike and Jack have the information they need before leaving for an engagement. Monitor travel arrangements and help resolve scheduling or logistical issues when they arise. Track travel-related expenses and documentation according to CUPS Mission procedures. Be available to travel up to 40 days per year as required by the needs of the position. Attend selected speaking engagements, ministry events, comedy events, conferences, or other appearances with Mike Williams or Jack Eason when additional event support, relationship development, or onsite coordination is needed. Engagement Preparation & Event Management Ensure Mike and Jack receive a complete briefing before each engagement. Provide information regarding the church or organization, primary contacts, audience, event schedule, previous relationship with CUPS Mission, and purpose of the engagement. Coordinate with the CUPS Mission team to ensure appropriate materials, displays, videos, giving information, Team 23 information, trip information, or other resources are available when needed. Confirm audiovisual, presentation, merchandise, table, and other onsite requirements prior to the event. Identify specific opportunities or strategic relationships that should receive additional attention during the engagement. When traveling to an event, assist with onsite logistics, host relationships, schedule management, event flow, and follow-up opportunities. Post-Engagement Follow-Up Every speaking engagement should have a defined follow-up process.The coordinator will:
Send appropriate thank-you communication to the host organization following the engagement. Follow up with pastors and organizational leaders regarding future partnership opportunities. Record important conversations, commitments, and next steps. Coordinate follow-up with individuals interested in trips, monthly partnership, church partnerships, or other CUPS Mission opportunities. Ensure donor or ministry leads generated from an engagement are transferred to the appropriate CUPS Mission team member and tracked through completion. Identify opportunities to schedule future engagements with the organization. Maintain relationships with churches and organizations even when another speaking engagement is not immediately scheduled. Relationship Development This role serves as an important connection point between CUPS Mission and the churches, ministries, venues, promoters, and organizations that invite Mike and Jack to speak. The coordinator should intentionally work to move relationships from: Contact → Conversation → Engagement → Relationship → Partnership The position should understand that a successful speaking engagement is not measured solely by whether Mike or Jack appeared at an event. Success includes the relationships, awareness, financial support, mission teams, Team 23 partners, and future ministry opportunities that develop as a result. Required Background & Experience The ideal candidate should bring a strong background in sales, booking, and event management .Preferred experience includes:
Demonstrated experience in sales, business development, outbound calling, or relationship-based selling . Experience with closing deals. Ideal candidate will be comfortable taking the conversation from describing the opportunity to making the ask. Previous experience in event booking, talent booking, speaker booking, concert promotion, ministry scheduling, or event management . Proven ability to DEVELOP a high-volume booking pipeline. Experience negotiating dates, fees, honorariums, travel arrangements, and event expectations. Strong understanding of follow-up, pipeline development, and closing opportunities. Experience managing calendars, travel, and multiple concurrent events. Existing relationships or connections within the church/ministry community, Christian entertainment industry, comedy industry, music industry, conference industry, or related networks is strongly preferred. Existing relationships with pastors, church leaders, event promoters, talent buyers, schools, conferences, radio organizations, or ministry leaders would be a significant advantage. Systems & Reporting Has the ability to build and maintain a consistent pipeline. Keep contact information and communication history accurate and current. Track prospective, pending, confirmed, completed, and follow-up engagements. Maintain records of honorariums and other engagement-related revenue when applicable. Provide a weekly update on booking activity, upcoming engagements, follow-ups, and opportunities. Track measurable results from speaking engagements whenever possible. Use all CUPS Mission systems and processes established for calendar management, contact management, travel, and follow-up. Key Performance Indicators Performance in this role will be measured through clear activity and outcome expectations, including: Minimum of 75 outbound booking calls per week. Minimum of x Mike Williams events or engagements booked per year. Minimum of x Jack Eason speaking engagements booked per year. Number of new organizations and qualified prospects added to the speaking pipeline. Speaking engagement revenue and honorariums generated. Percentage of completed engagements receiving timely follow-up. Number of repeat engagements booked. Number of new church and ministry partnerships developed through speaking engagements. Number of Team 23 partners, donors, trip participants, or other measurable opportunities generated through speaking engagements. Accuracy and timeliness of calendar and travel management. Completion of required weekly reporting and follow-up.Qualifications The ideal candidate will:
Be highly organized and able to manage multiple conversations, calendars, deadlines, and travel arrangements simultaneously. Be comfortable making a high volume of outbound phone calls every week. Have demonstrated sales ability and confidence asking for and closing speaking engagements. Have strong written and verbal communication skills. Be persistent in follow-up without becoming overly aggressive. Be relational and comfortable communicating with pastors, church staff, school administrators, ministry leaders, promoters, and event coordinators. Have strong attention to detail. Be capable of working independently while keeping leadership informed. Understand the importance of accurate systems, documentation, and follow-through. Be comfortable discussing honorariums, travel expectations, event logistics, and partnership opportunities. Be willing and able to travel up to 40 days per year . Represent Mike Williams, Jack Eason, and CUPS Mission professionally and consistently. Characteristics for Success The person who succeeds in this role will be: Sales-Minded. Proactive. They do not wait for churches or organizations to contact CUPS Mission; they actively create opportunities. Detail-Oriented. Flights, calendars, addresses, contacts, event times, and follow-ups must be correct. Results-Focused. Activity matters, but the ultimate goal is booked engagements, strong relationships, and measurable ministry impact. Mission-Minded. They understand that speaking engagements are an integral avenue for inviting people into the work of CUPS Mission and helping advance the mission of rescuing and pre-rescuing those at risk of human trafficking and exploitation. Definition of Success A successful Speaker Relations & Engagement Coordinator consistently generates new opportunities, maintains a healthy booking pipeline, meets or exceeds the annual booking expectations for Mike Williams and Jack Eason, manages calendars and travel with excellence, and ensures every engagement receives intentional follow-up. Success means mission ambassadors are consistently placed in strategic environments where relationships can grow into long-term church, donor, ministry, and organizational partnerships for CUPS Mission.Pay:
