Non-Exempt Role Description The Catering Coordinator plans and supports the execution of Club events, providing administrative, organizational, and on-site support to the Director of Catering (DOC). This role responds to Member inquiries, coordinates event details, and helps ensure a seamless experience for Members and guests. Key Responsibilities Responds to Member inquiries about social events for under 30 people via phone, email, or personal contact Handles all pool party requests (Seasonal) Handles all Pickleball and Tennis 105 requests Provides tours of private rooms when requested Executes Banquet Event Orders (BEOs) and constructs proposals for events Manages daily events change packet and weekly events packet; reviews and distributes to department heads Conducts a "walk through" of rooms prior to events, ensuring setup is in accordance with the Banquet Event Order Assists with the set-up and execution of events, attending events as needed to manage client relationships and support operations Works with the DOC in booking smaller and internal events, and provides support for internal club events Provides and updates all printed materials needed for events and outlets (menus, signage, etc.) Organizes and maintains working and historical event files Provides clerical, administrative, and organizational support to catering functions and events in a professional and enthusiastic manner Liaises with vendors, staff, chefs, and specialized catering equipment providers Tracks catering expenses and helps maintain accurate records Maintains strict confidentiality regarding the membership and activities of the Club Will work nights, weekends, and holidays as needed The ideal candidate will have the following experience, skills, and knowledge: Accredited course in catering management, or similar a plus Bachelor's degree in hospitality and culinary arts or business management would be advantageous 2-5 years of experience in catering coordinator role, or similar Knowledge of electronic catering management systems, such as Jonas (Jam), Amadeus a plus Ability to coordinate catering requirements with culinary team and banquet team The ability to apply industry knowledge to improve catering services Knowledge of best practices in catering and events Excellent interpersonal and communication skills The ideal candidate will have the following competencies and qualities: Adapts easily to fast paced, ever-changing situations, member expectations and short-term event announcements Builds rapport well and maintains positive win-win relationships with internal partners, external vendors, Members, and guests Attains a high level of professional presentation including attire, attitude, judgement, attention to detail and discretion Able to confidently work with a diverse group of people and interface with all levels of management Seen as honest, possessing integrity, strong sense of ethics and acting as a team player Possesses an eye for detail and willingness to roll up sleeves and pitch in Resourceful, efficient with sense of urgency, quick learner and dependable.
