Event Management Coordinator Corporate Events | Employee Engagement | Brand and Communi cations Support Position Summary The Event Management Coordinator plans, coordinates, and executes company events, meetings, training sessions, and initiatives that strengthen employee engagement, recognition, professional development, brand awareness, and community involvement. The role ensures event logistics are organized efficiently and that each event aligns with company culture, standards, objectives, key messages, and strategic goals. Key Responsibilities Event Planning and Execution Plan, coordinate, and execute employee recognition events, national employee meetings, leadership summits, corporate events, training sessions, employee engagement activities, and other internal gatherings. Manage event logistics, including venue selection, travel arrangements, lodging, accommodations, catering, audiovisual requirements, event materials, on-site setup, and presentations. Develop and manage event agendas to ensure alignment with company objectives and key messages. Provide on-site event support to promote smooth execution and a positive attendee experience. Adapt plans and priorities as business and event needs change. Stakeholder and Vendor Coordination Collaborate with executive leadership and internal teams to define event needs, identify keynote speakers, and facilitate speaker participation. Serve as the primary point of contact for venues, speakers, vendors, and service providers, ensuring expectations are understood and event requirements are met. Coordinate across a multi-location organization to support regional and national events. Budget and Administrative Management Develop, maintain, and track event budgets, invoices, expenses, and related documentation in accordance with company guidelines. Prepare detailed post-event budget reports to support management review and optimization of future events. Manage multiple events, projects, priorities, and deadlines simultaneously with strong attention to detail. Communications, Registration, and Brand Support Create and distribute event communications, including invitations, registration information, agendas, presentations, event materials, and post-event follow-ups. Promote event participation through appropriate internal and external communication channels to increase engagement. Ensure event materials, presentations, communications, and branding are consistent, professional, and aligned with company standards. Evaluation and Reporting Gather participant feedback through surveys and assessments to evaluate event success and identify opportunities for improvement. Prepare post-event reports summarizing outcomes, attendance, budget adherence, participant feedback, successes, and improvement opportunities. Qualifications Associate or bachelor's degree in Event Management, Hospitality, Marketing, Communications, or a related field preferred. Two or more years of experience in event planning, coordination, or related administrative support; corporate or multi-location service organization experience preferred. Strong organizational and time-management skills, with the ability to manage multiple projects and priorities. Excellent written and verbal communication, interpersonal, collaboration, and vendor-management skills. Proven attention to detail, adaptability, and problem-solving ability in a fast-paced environment. Proficiency in Microsoft Office; experience with event management software preferred. Working Conditions and Role Requirements This role will sit onsite in our corporate office in Dallas (irving), TX. The salary range for this position is $65,000- $85,00 and is based on candidate experience. Ability to work standard business hours with occasional evenings, weekends, or extended hours based on event and project needs. Ability to travel to regional offices, job sites, partner locations, and event venues as required. Regular and reliable attendance and punctuality are essential functions of the role. Perform other duties as necessary or assigned. P hysical Requirements The physical demands of this position are consistent with those of a professional office role. The employee is regularly required to sit for extended periods while using a computer, keyboard, telephone, and other standard office equipment. Frequent verbal communication is required to collaborate with employees, executives, and external partners in person, by phone, and through virtual meeting platforms. The role requires the ability to read, prepare, review, and edit written communications and presentations with attention to detail. Occasional standing, walking, reaching, bending, and lifting or carrying materials weighing up to 40 pounds may be required.
