Company Overview The East Montgomery County Improvement District (EMCID) is a dynamic community-focused organization serving a vibrant 158-square mile area northeast of Houston. Dedicated to fostering economic growth, community development, and educational opportunities, EMCID plays a vital role in shaping the region's retail, commercial, and industrial landscape. Overview We are seeking an energetic and detail-oriented Events Coordinator/Receptionist to join our team! The Atrium Center is EMCID's office and event venue located in New Caney. It has 15,000 square feet of leasable space in which to tie the knot, celebrate a birthday or milestone, hold a gala, or an educational training. In this pivotal role, you will provide essential administrative and guest-facing support for daily operations and scheduled events, acting as the first point of contact for visitors, managing reception duties, and assisting event logistics to ensure seamless event execution and high guest satisfaction, often with flexible hours and/or days, but often including both Saturdays and Sundays.
Responsibilities Event Support Duties:
  • Provide information on event packages, programs, and facility details.
  • Provide tours for potential clients.
  • Process payments for bookings/services.
  • Coordinate with the events manager and facility manager the use of the venue for events and identify potential scheduling conflicts.
  • Assist with contracts and booking event space.
  • Coordinate on-site arrangements for meetings and events.
  • Create and maintain positive client relationships.
  • Assist with event setup and breakdown.
  • Support event managers and staff during events, while also handling client needs.
  • Assist with managing on-site production and cleaning for events, as necessary.
  • Ensure vendors and/or caterers are directed to the correct locations on the day of the event.
  • Assist with audiovisual equipment.
  • Keep track of the number of inquiries for facility usage, including name, type of event, space required, etc.
  • Maintain booking calendar.
  • Close out all events, as required.
Reception Duties:
  • Greet and welcome guests, directing them to appropriate areas/staff.
  • Answer, screen, and forward incoming calls, providing basic information.
  • Handle mail, deliveries, supplies, and manage visitor logs, packet pickup.
  • Maintain a tidy and presentable reception area.
General Duties:
  • Maintain confidentiality of information.
  • Uphold professional appearance and uniform standards.
  • Other duties as assigned. Qualifications
  • Strong verbal/written communication and interpersonal skills.
  • Excellent organizational, time management, and problem-solving abilities.
  • Customer service focus with a positive attitude.
  • Ability to multitask and adapt to changing needs.
  • Flexibility to work traditional and non-traditional hours (evenings, weekends).
