Job Description

Position Overview The NWBSN Childcare Program is seeking a highly organized, energetic, and culturally grounded Childcare Event Coordinator to design, coordinate, and execute events that support family engagement, cultural preservation, community outreach, and provider development. This role manages event logistics, secures venues, coordinates catering and vendors, prepares RFPs and payments, and works closely with the Childcare Director to plan meaningful cultural and general events for families, providers, and the community. The Coordinator also identifies and attends community tabling opportunities to promote the childcare program and serves as the on‑site representative during events. Events must reflect tribal values, support CCDF goals, and strengthen community connection. In addition to event responsibilities, this position supports other childcare departments as needed, including assisting with intake, renewals, billing processes, and general program operations. Key Responsibilities Event Planning & Coordination Plan, organize, and execute childcare program events, workshops, and family engagement activities. Collaborate with the Childcare Director to develop event concepts, budgets, and activity proposals for approval. Coordinate venues, catering, entertainment, and vendors to ensure all event details are secured and compliant. Prepare and submit Requests for Proposals (RFPs) and payment requests for event services and materials. Develop event timelines, task lists, and checklists to ensure efficient execution. Manage event registration, RSVPs, attendance tracking, and participant communication. Ensure all materials, supplies, and equipment are prepared, delivered, and set up on time. Serve as the on‑site point of contact during events, overseeing setup, operations, and cleanup. Troubleshoot issues and provide support to families, providers, and staff as needed. Cultural Event Development Collaborate with tribal cultural departments, elders, and community members to design culturally relevant events. Plan activities that promote tribal language, traditions, stories, and cultural practices. Develop new cultural event ideas that strengthen identity, family connection, and community pride. Ensure cultural protocols and tribal values are respected in all event planning. General Event Development Create new family engagement events, educational workshops, provider appreciation events, and community outreach activities. Develop creative, fun, and meaningful event concepts that support CCDF goals. Assist in designing events that increase program visibility and participation. Administrative & Financial Responsibilities Submit receipts, invoices, and documentation during and after each event. Maintain organized records of contracts, RFPs, and other event documentation. Ensure compliance with CCDF fiscal and procurement policies. Communication & Collaboration Maintain clear, consistent communication with the Childcare Director throughout each project. Promote events through flyers, social media, and outreach materials. Represent the childcare program professionally at community events and tabling opportunities. Outreach, Promotion & Tabling Responsibilities Actively seek opportunities to table at community events to promote the childcare program. Coordinate with event hosts to secure tabling space, materials, and logistics. Attend and table at events as the childcare program representative, providing information, answering questions, and distributing outreach materials. Create flyers, announcements, social media posts, and promotional materials for events and tabling opportunities. Maintain regular communication with families, providers, and tribal departments regarding upcoming events. Program Support & Cross‑Department Assistance Assist other childcare departments as needed, including: Intake and enrollment support Processing renewals and annual updates Helping with billing tasks, documentation, and communication General administrative support to ensure smooth program operations Provide back-up coverage during busy periods or staff absences. Knowledge, Skills & Abilities
  • Exceptional organizational and time‑management skills.
  • Sufficient knowledge and skill levels in Microsoft Office.
Strong written and verbal communication abilities. Ability to coordinate multiple moving parts efficiently under deadlines. Professional, reliable, and capable of working independently. Experience with event planning, childcare, or community programming. Qualifications & Requirements Familiarity with tribal communities, cultural sensitivity, and family engagement principles. Proficiency with email, scheduling tools, and digital communication platforms. Ability to manage budgets, RFPs, and vendor contracts. Creative problem‑solving and adaptability in dynamic environments.
    Education:
    Minimum high school graduation or GED; college degree in a childcare-related field preferred.
    • Must be 18 years of age or older and pass a background check, and drug and alcohol screening.
    • Must have a valid driver's license and be insurable under the Tribe's insurance program.
    • Must attend monthly Childcare Department meetings with regional CCDF Staff.
    Ability to have an effective working relationship with families, other staff, and the community.
    Pay:
    From $22.00 per hour Expected hours: 40.0 per week
