Position Summary The Event Coordinator supports the planning and execution of conventions, corporate meetings, social events, and community gatherings at the Lynnwood Event Center. Working closely with clients and internal teams, this role helps coordinate event details, maintain accurate documentation, and ensure every event is delivered with exceptional service and attention to detail. Reporting to the Event Manager, the Event Coordinator plays an important role in creating seamless experiences while supporting the District's mission of bringing people together through exceptional events.
Key responsibilities include:
Support clients throughout the event planning process by providing timely communication and exceptional customer service. Conduct venue tours and assist with social event inquiries and bookings. Prepare and maintain Banquet Event Orders (BEOs), room diagrams, event timelines, and planning documents. Coordinate event details with Operations, Culinary, Banquets, and Sales to ensure accurate communication across departments. Maintain event records, contracts, deposits, and client information within the event management system. Assist with on-site event coordination by supporting clients and operational teams during assigned events. Monitor event timelines, deadlines, and client deliverables to ensure successful execution. Support post-event documentation, billing coordination, and administrative follow-up. Job Qualifications & Requirements The ideal candidate will have the following qualifications: Two (2) or more years of experience in event coordination, hospitality, catering, hotel, venue operations, or a related field. Strong communication and customer service skills with a professional, client-focused approach. Excellent organization and attention to detail while managing multiple priorities. Working knowledge of Banquet Event Orders (BEOs), room diagrams, and event planning documentation. Experience with Microsoft Office and event management or CRM software. Flexibility to work evenings, weekends, and holidays as business needs require. The following qualifications will help you stand out: Experience in a convention center, hotel, or full-service event venue. Experience supporting conventions, conferences, weddings, or social events. Familiarity with event management systems and CRM platforms.
