Job Description

We are looking for a Meeting Planner to support the coordination and delivery of well-organized events for a Waukesha, WI area organization. This position is ideal for someone who enjoys organizing details, managing schedules, and creating smooth event experiences from initial planning through final execution. The role will partner with internal teams and external vendors to keep timelines on track, maintain clear communication, and ensure each meeting or special event is carried out efficiently.
Responsibilities:
  • Organize and manage meeting logistics, including calendars, venue arrangements, materials, and day-of coordination.
  • Build and maintain detailed event schedules to ensure activities, deadlines, and deliverables stay on track.
  • Coordinate with vendors, venues, and internal stakeholders to confirm services, timing, and event requirements.
  • Support the planning and execution of special events by overseeing operational details and resolving issues as they arise.
  • Track multiple projects at once, balancing priorities and following up on outstanding tasks to meet key milestones.
  • Prepare event-related documents, communications, and planning materials needed for successful execution.
  • Monitor event plans closely and adjust schedules or arrangements when priorities or logistics change.
  • Help create organized, positive attendee experiences by ensuring all meeting elements are properly aligned before and during events.
