In this vital role, you will serve as the first point of contact, ensuring smooth operations at the front desk while delivering exceptional customer service. Your energetic approach and organizational skills will help guests feel valued from the moment they arrive, setting the tone for their entire experience. This paid position offers an exciting opportunity to be part of a wellness-focused team dedicated to providing top-tier service. Duties Greet and welcome guests with warmth and professionalism, creating a positive first impression. Answer phone systems and booking system ( Vagaro) promptly, using proper phone etiquette to handle inquiries and appointment bookings. Manage appointment scheduling and calendar coordination on specialized booking software. Handle client communication, including confirming appointments, providing information about services, and addressing guest questions or concerns. Maintain a tidy and organized front desk area, including filing, data entry, and updating client records with accuracy. Support office management tasks such as proofreading documents, managing correspondence, and assisting with clerical duties. Provide excellent customer support by assisting guests with check-in/check-out procedures and ensuring their needs are met promptly. Experience Previous office management or administrative experience in a customer-focused environment is preferred. Strong computer literacy with proficiency in Microsoft Office (Word, Excel) and general computer skills. Experience handling phone systems and phone reception duties with professionalism. Demonstrated clerical skills including filing, data entry, proofreading, and calendar management. Bilingual abilities are highly desirable to serve a diverse clientele effectively. Excellent organizational skills with the ability to prioritize tasks efficiently and manage time effectively. Prior experience in a front desk or personal assistant role is advantageous, especially within hospitality or wellness settings.
