Job Description
We are seeking an energetic and detail-oriented Head Receptionist / Guest Services Supervisor to lead our front desk operations and deliver exceptional guest experiences. In this pivotal role, you will oversee daily reception activities, manage a multi-line phone, and ensure smooth administrative workflows. Your leadership will set the tone for a welcoming environment, fostering positive client interactions and efficient office management. Responsibilities Supervise front desk staff, ensuring high standards of customer service and professional phone etiquette Manage answering inquiries promptly and accurately Oversee front desk management tasks including filing, calendar management, and maintaining out resort software and incoming boarders and daycare dogs with operational efficiency Coordinate client communication, scheduling appointments, and supporting personal assistant functions as needed Handle clerical duties and ensure all inquiries are followed up on Support guest services by greeting visitors warmly, managing check-in/check-out procedures, and addressing guest needs promptly Assist in training new team members on front desk procedures, software skills, and customer service support protocols Skills Ability to communicate effectively with diverse clients and team members Strong office management experience with excellent organizational skills Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and general computer literacy Demonstrated clerical experience including phone answering, filing, proofreading, and data entry Exceptional customer service skills with a focus on front desk operations and client communication Ability to handle phone lines with professionalism and efficiency Excellent time management skills to prioritize tasks in a fast-paced environment Personal assistant experience or calendar management expertise is highly desirable Strong organizational skills combined with attention to detail for proofreading and document accuracy
