Full Job Description Opportunity:
Office Manager - Heywood Hotel, East Austin Our small, award-winning boutique hotel in East Austin is looking for an experienced, highly organized professional to help manage our day-to-day operations.
Overview :
Thisis a leadership role for someone who's eager to learn how we do things and take real ownership of the processes and systems that keep a small, independently owned business running smoothly. You'll get hands-on training and ongoing support from your manager as you grow into the role, with more responsibility coming as you build confidence in our processes. As ​Office Manager, you'll oversee front desk and client-facing operations, customer service processes, inventory, procurement, and general office administration, while supervising front desk supervisors and staff. If you've managed a front desk, reception team, or client-facing office before -- in a medical or dental office, salon, real estate office, gym, or similar -- this role will feel familiar. Hotel experience is not required.
Responsibilities:
​ Sharing manager-on-duty responsibilities and overseeing successful daily operation of the property Overseeing front desk and client-facing operations, including scheduling and booking management, reception, and customer service, and ensuring consistent execution of service standards Training and supervising front desk supervisors and staff on scheduling/booking management and office procedures Resolving escalated customer issues and overseeing coordination of VIP and group bookings Managingscheduling and booking accuracy, and identifying opportunities to maximize revenue through smart pricing and allocation Keeping office and front desk systems organized, including recordkeeping, supply restocking, and equipment upkeep, and serving as the go-to person when staff run into system issues Managing petty cash, with weekly counting and reconciliation Preparing payroll for manager approval, reconciling timekeeping records against staff sign-ins Scheduling housekeeping and maintenance coverage to keep the property in top condition Owning inventory management and procurement - maintaining tracking systems, managing purchasing, and ensuring adherence to budget guidelines Delegating responsibilities effectively while maintaining accountability for outcomes This is a hands-on leadership role at a small business. You'll be doing the customer service work yourself day to day, as well as supervising the team you work alongside.
Schedule :
30-40 hours per week, on-site, on a fixed schedule. One weekend shift per week is required. Holiday coverage may also be required. Our scheduled shifts are 7:45am to 3:45pm and 12pm to 8:00pm. No overnight shifts. Availability for on-call or after-hours coverage for customer service needs (paid). Free street parking provided.
Requirements :
Customer service experience and prior office management or operations management experience is required. Hotel or hospitality experience is a plus, not a requirement. Demonstrated ability to supervise and train a team Excellent organizational skills and independent judgment Strongcomputer skills, including comfort learning new scheduling or booking software Experiencemanaging budgets, inventory, or purchasing preferred Minimum ​one year of Austin residency, with working knowledge of the local area Valid driver's license and reliable transportation Must pass a background check About ​
