JOB SUMMARY
The Reservations Clerk is responsible for receiving and confirming all reservations for the University Center, Campbell Lounge, Alumni House and Nexus Building. The Reservations Clerk will be responsible for offering proper communication to all students, faculty, staff and third party groups on the status of their room requests. All requests are to be responded to in a prompt manner. This is a union Local 153 position.
SALARY INFORMATION

Director of Auxiliary Services
RESPONSIBILITIES & DUTIES
Maintain complete knowledge of and adhere to all the departments' policies, procedures and standards. Respond to all calls and emails promptly and professionally. Monitor reservations coming in via fax and student reservation forms. These requests must be responded to in the same timely manner. Send letters of confirmation for each reservation. Communicate via email when a request cannot be confirmed or if space needs to be cancelled. 10 day out reports alongside a Zoom meeting. Weekly meetings with Event Managers to create event memos that are sent to the necessary participants. Work with IT to create user friendly room reservations forms. Meet with student groups to go over room policies and procedures. Maintain positive customer relations.
Maintain complete knowledge of:
All facilities / services, hours of operations; All room layouts and available sets; Space availability; Restricted dates, set ups or special instructions as indicated by management; Ensure the virtual reservations via the dashboard are responded to throughout the shift. Ensure group / department contacts are updates and kept current. Process reservation changes accordingly. Notify Event Coordinator when critical booking changes take place. Ensure room holds are released after the appropriate hold times. Pre-block annual events as directed. Review no- show reservations and communicate with the department accordingly. Compile monthly no show reports. Ensure each reservation has the proper information such as start and end time and guest count. Communicate relevant reservation information with Operations Managers as it pertains to their assigned groups. Maintain a clean and neat appearance, keep work area organized and always act in a professional manner. Perform other job related duties as assigned.
REQUIREMENTS
(Knowledge, Skills and Abilities): Ability to input and access information via the university reservations software. Perform job functions with attention to detail. Follow directions thoroughly. Be a clear thinker, remaining calm and resolving problems using good judgement. Understand guest service needs as it relates to reservations. Work cohesively with co-workers. Maintain confidentiality of guest information and departmental information.
EDUCATIONAL/EXPERIENCE REQUIREMENTS
Bachelor's degree is required. Previous hotel or conference reservations experience is preferred.
HOURS:
Monday - Friday, 8:30am - 4:30pm in office.
