RETREAT RESERVATIONS

POSITION FOCUS
- Articulate Meadowkirk's ministry mission and charitable vision, retreat offering, and pricing and facilities availability in a clear, compelling and relational way
- Work with guest groups to help define their envisioned retreat experiences and coordinate key related requirements, including site/facility use and set ups, reservations documentation, meal service details, guest arrival/departure specifics, and other plans and logistics
- Work with and help maintain the organization's online bookings platform and related tools
- Prepare accurate and timely guest group proposals and contracts
- Help implement all elements of the guest group invoicing/payment process
- Help manage the Meadowkirk bookings calendar to optimize use of facilities and amenities
- Conduct continual and timely phone/email outreach, help track bookings and prepare sales-related internal reports, participate in providing site tours
- Support broader marketing efforts (potential activities include assisting with social media activity, coordinating the production of brand collateral material, helping to manage the Meadowkirk website)

- Serve as a hands-on retreat host and guest services provider, working with visiting groups and other hospitality team members to coordinate and implement retreat logistics and all contracted retreat elements
- spanning overnight lodging, meeting spaces, meal service and guest activities/amenities
- Prepare retreat group welcome materials, greet guest group representatives and present an overview of Meadowkirk's retreat guidelines
- Work with kitchen team members before, during and after guest mealtimes to implement Meadowkirk's range of family-style, buffet, and special event dining formats, including: preparing dining areas to ensure clean, properly configured and aesthetically pleasing spaces; printing/posting menus and related signage; setting, clearing and sanitizing guest tables and serving surfaces; assisting kitchen team with food and beverage delivery to meal service areas; and serving as a primary mealtime liaison between guest group(s) and kitchen team•anticipating and responding to guest needs, including proactively replenishing food and beverage items • Help track hospitality-related supplies inventory and assist with ordering items • Help coordinate housekeeping services and facilities set-up activity • Perform light housekeeping tasks during guest stays•such as restocking consumables, removing trash from selected common areas and cleaning spills; participate in space configuration activity • Help adjust thermostats, window blinds and lighting; conduct facility openings and closings • Perform detailed pre-retreat facilities inspections and resets; participate in completion of routine grounds preparation checklists, as needed • Conduct detailed post-retreat facilities inspections to help ensure retrieval of guest belongings and identify potential building maintenance/repair issues.
- Help maintain A/V systems, providing guest groups with basic system overviews and support, as needed
- Compile guest group retreat/event evaluations as part of Meadowkirk's ongoing quality improvement focus
- Maintain a strong focus on: warm, welcoming and unobtrusive guest group service; personal dependability and team work, details, deadlines and adherence to Meadowkirk operating protocols; following instructions correctly; personal/professional organization; proactive problem solving; and overall excellence
- Work well under pressure in a fast-paced environment

- Internalize and follow the organization's retreat reservations, hosting and team guidelines
- Demonstrate excellent verbal/written communications skills, particularly in guest group settings

- Work collaboratively with all team members across operational areas to ensure a consistently premier guest experience
- Participate in other related duties as assigned Retreat Hosting Rotation.
