POSITION SUMMARY
The District General Admin Manager is the district-level leader responsible for the administrative operations of three or more Collier-Laurence O&P locations across Northern California. This leader owns scheduling, patient intake, insurance verification, cash reporting, working progress of patient flow and compliance across every office, and is accountable for building systems and a team culture that perform consistently whether or not the leader is in the room. This role requires proven experience managing multiple direct reports across more than one location, a track record of integrating administrative, billing, and clinical functions into one coordinated operation, and the communication skill to serve as the primary liaison between administrative staff and executive leadership. Why This Role Exists Our VP of Operations and executive leadership are focused on growth, driving high-margin referrals from specialty physicians and scaling clinical capacity. They need a trusted district-level administrative leader who owns the back-of-house operations completely, so leadership can focus forward.
OBJECTIVES
Operations Leadership
- Directly manage Ten administrative staff members across three or more locations
- Conduct one-on-one meetings with each direct report every month using a structured agenda
- Lead PPF (Personal, Professional, Financial) goal-setting conversations with each team member
- Facilitate monthly administrative team meetings that align with the company's core values and operational goals
- Oversee scheduling, patient intake, insurance verification, cash reports, and compliance across all offices
- Become a champion and Ensure Opie Anywhere practice management software training and adoption stays complete and consistent across all sites Cross-Department Integration
- Coordinate between the administrative, billing, clinical, and operations teams to eliminate process gaps
- Serve as the primary liaison between administrative staff and executive leadership
- Standardize protocols across all locations, including Kaiser workflows, Advance Beneficiary Notice procedures, scheduling rules, and patient communication standards
- Drive delivery targets, track daily and weekly dashboards, and report performance metrics to leadership Culture and Team Development
- Build a culture by design, not by default, and enforce and model our five core values in every interaction
- Identify top performers and develop career pathways for each team member's growth
- Own onboarding for new administrative hires, from pre-arrival checklists through the PPF goal conversation
- Address performance issues early and with structure through coaching, documentation, and resolution AI and Technology Leadership
- Actively use Claude AI for drafting communications, building workflows, summarizing meeting outcomes, and streamlining administrative tasks
- Champion technology adoption across administrative teams, including practice management software, dashboards, and artificial intelligence tools
- Use Business Intelligence reporting to surface operational data and inform decisions
COMPETENCIES
Must-Haves
- Three to five or more years of multi-location administrative or operations management experience
- Demonstrated ability to manage five or more direct reports simultaneously
- Experience integrating operations across departments (scheduling, billing, intake, compliance)
- Proficiency with Claude AI or similar artificial intelligence tools, used to work smarter rather than to avoid the work
- Comfort with structured meeting cadences, including one-on-ones, PPF conversations, and team meetings
- Strong written, verbal, and cross-functional communication skills
- Experience leading people through change, including new technology rollouts, process standardization, or leadership transitions, with the communication skill to bring a team along rather than simply directing it
- Ability to diagnose root causes of underperformance at the individual, team, or location level, and to build a specific corrective plan rather than applying a generic fix
- Proven track record of developing frontline staff into future leaders, including identifying readiness for advancement and building the coaching plan to get them there
- Strong conflict resolution skills, with the ability to navigate friction between departments, personalities, or competing priorities without letting it affect patient care or team morale
EDUCATION AND EXPERIENCE
- Background in orthotic, prosthetic, durable medical equipment, or healthcare administration
- Experience with Opie Anywhere or similar practice management platforms
- Familiarity with Medicare, Medi-Cal, Kaiser, Private Ins, or insurance authorization workflows
- Experience implementing goal-setting frameworks such as PPF, KPI, or SMART goals
- Cardone Ventures training on People Essentials, Teamwork Book, and Operations is a plus
