Marketing/Accounting/Events Position Summary The Café Operations Manager is responsible for the overall operational, sales, reporting, financial, staffing, and mission-driven success of two café locations. This is a hands-on leadership position requiring an experienced multi-location operator who can manage the business, develop people, analyze performance, and ensure that the organization's mission is reflected in everyday operations. The Manager will oversee sales, inventory, purchasing, vendor relationships, menu and recipe development, staffing, scheduling, proprietary training, customer experience, community engagement, compliance, and operational reporting.
•Experience with Toast, Square, Quickbooks A+ This individual will be expected to live in the organization's KPIs , using data to identify trends, solve problems, improve performance, and make informed recommendations. The position will generally be scheduled Monday/Tuesday at one location and Thursday/Friday at the second location, with rotating weekend coverage , while maintaining flexibility to meet organizational and operational needs.
KEY RESPONSIBILITIES
Multi-Location Operations Lead the day-to-day operations of both café locations and ensure consistent standards, service, quality, safety, mission and customer experience. Establish systems and processes that allow both locations to operate effectively in the Manager's absence. Identify operational challenges and implement solutions. Ensure organizational policies, procedures, and standards are consistently followed. Interface between management staff and board members. Sales & Financial Performance Establish and monitor sales goals and operational KPIs. Analyze sales, labor, food/product costs, waste, and other financial indicators. Identify opportunities to increase revenue, customer traffic, average ticket, events, catering, and community-based business. Partner with the Treasurer on budgeting, financial reporting, and financial analysis. Provide the Board with regular analysis, trends, recommendations, and action plans. Inventory, Purchasing & Vendors Manage inventory levels, ordering, purchasing, and inventory controls across both locations. Establish appropriate par levels and minimize waste, spoilage, and unnecessary purchasing. Manage vendor relationships, pricing, quality, delivery, and performance. Maintain accurate purchasing and inventory records. Menu & Recipe Development Lead menu development and seasonal offerings. Develop and maintain standardized recipes, portion standards, and recipe costing. Evaluate menu performance based on sales, cost, customer feedback, and operational feasibility. Collaborate with Marketing on menu launches, promotions, and events. Leadership, Staffing & Training Directly supervise and develop two Associate Managers . Establish clear expectations, performance standards, and accountability. Ensure Associate Managers effectively lead their respective teams and maintain appropriate staffing levels. Oversee scheduling, attendance, performance management, and employee development. Ensure employees are appropriately and trained in café operations, customer service, communication, accountability, and organizational expectations. Ensure Associate Managers consistently implement the organization's established training curriculum and unique way of doing business . Coach and develop employees while addressing performance issues promptly and professionally. Mission & Compliance Ensure the organization's mission is integrated into daily café operations and employee development. Complete training in staff management, leadership, and applicable NJ Division of Developmental Disabilities (DDD) requirements. Maintain required certifications and ensure appropriate staff training and certifications remain current. Maintain a safe, inclusive, compliant, and mission-centered workplace. Maintain ServSafe and First Aid/CPR certifications . Community & Marketing Serve as a visible ambassador for the organization within both communities. Build relationships with local businesses, schools, nonprofits, community organizations, and other partners. Identify opportunities for community engagement, events, partnerships, catering, and revenue growth. Work closely with Marketing on promotions, events, customer engagement, and organizational messaging.
BOARD REPORTING & ACCOUNTABILITY
The Café Operations Manager reports directly to the Board of Directors and is responsible for providing consistent, accurate, and actionable operational reporting. Weekly/Regular reporting will include, as appropriate: Sales and sales trends by location Sales versus goals/budget Labor hours and labor costs Staffing and attendance Inventory and purchasing Food/product costs and waste Vendor performance Training and certification status Employee performance and development Customer trends and feedback Community engagement Operational risks and challenges Opportunities for growth Recommended actions and decisions The expectation is not simply to report the numbers. The Manager must be able to explain what happened, why it happened, what the data indicates, and what should happen next.
KEY PERFORMANCE INDICATORS
The Café Operations Manager will be accountable for measurable performance across both locations, including:
Financial:
Revenue, sales growth, sales versus budget, labor costs, food/product costs, waste, controllable expenses
Operational:
Inventory accuracy, purchasing efficiency, vendor performance, food safety, cleanliness, consistency, and operational efficiency
People:
Staffing, retention, attendance, training completion, certifications, employee performance, and Associate Manager development
Customer & Community:
Customer experience, repeat business, community partnerships, events, and revenue opportunities
Mission:
Consistent execution of the organization's training curriculum, inclusive employment practices, employee development, and the organization's unique approach to doing business
QUALIFICATIONS
Required Proven experience successfully managing multiple café, restaurant, hospitality, retail, or comparable locations . Demonstrated experience managing managers and holding staff accountable. Strong understanding of sales, inventory, purchasing, vendors, staffing, and financial performance. Demonstrated ability to analyze data and translate it into action. Strong leadership, communication, organizational, and problem-solving skills. Experience developing and implementing employee training. Ability to effectively manage both strategic priorities and day-to-day operations. Ability to work in a mission-driven nonprofit environment. Willingness to complete organization-specific leadership, staff-management, and DDD training. ServSafe and First Aid/CPR certification or ability to obtain within an established timeframe. Preferred Nonprofit or mission-driven organization experience. Experience working with individuals with intellectual/developmental disabilities or other diverse abilities. Experience with menu development and recipe costing. Experience building community partnerships. Experience presenting operational and financial information to a Board.
