POSITION SUMMARY
The Familiarization (FAM) Tour Coordinator supports Discover Newport by organizing, scheduling, and executing familiarization trips for travel professionals and media. This position ensures seamless, memorable, and productive destination experiences for invited travel trade and media guests.
KEY RESPONSIBILITIES
Logistics & Scheduling Create detailed daily itineraries, mapping out times for hotel site inspections, dining, and activities. Secure complimentary or discounted reservations for flights, ground transportation, lodging, meals, and attraction tickets. Communicate directly with local suppliers, including hotels, restaurants, and attractions to confirm group arrivals and special requests. Communications & Guest Relations Manage invitations and visit details, such as flight information, dietary restrictions, and guest contact lists. Prepare digital and physical welcome packages, including itineraries, maps, VIP Cards, and local promotional items. Escort tours and act as the main point of contact, keep the group on schedule, and troubleshoot issues. Administrative Support & Reporting Gather invoices, submit receipts, and ensure the trip stays within the allocated DMO budget. Distribute feedback forms to attendees and summarize their reviews to improve future tours. Track and log any media coverage, articles, or social media posts generated from the tour.
REQUIRED QUALIFICATIONS
Bachelor's degree in Business Administration, Hospitality/ Tourism Management, Marketing, Communications, or a related field. 2+ years of administrative or related experience. Advanced working knowledge of core Office 365 applications.
ADDITIONAL ELIGIBILITY QUALIFICATIONS
Must possess a valid driver's license.

Deep appreciation for Newport and Bristol Counties'. High-level operational skills for travel itineraries, including securing reservations and managing on-site schedules for groups. Strong written and verbal communication skills for guest and industry partner relations.

Position Type and Expected Hours of Work:
This is a full-time position and the employee must work at least 35 hours each week to maintain full-time status. Normal operating hours are Monday-Friday, 9AM- 5PM. In-office presence is required.
Travel:
