In person Job Summary The Vice President of Finance and Human Resources provides leadership and oversight for the organization's financial, accounting, treasury, payroll, benefits, and human resources functions. The position is responsible for maintaining accurate fiscal and personnel records, implementing effective internal controls, preparing timely financial and management reports, managing cash flow, coordinating the annual budget and audit processes, and supporting the organization's employees throughout the employment lifecycle. This position reports to the Chief Executive Officer and works in coordination with, and is operationally accountable to, the Chief Operating Officer of each organization for matters within their respective areas of responsibility. The position advises executive leadership on financial and human resources matters and ensures departmental practices align with organizational policies, goals, and objectives established by executive leadership and the respective Boards of Directors. Essential Duties and Responsibilities Finance and Accounting Direct the organization's accounting, treasury, budgeting, cash management, and financial reporting functions. Prepare accurate and timely monthly financial statements for presentation to the Finance Committee. Prepare financial analyses, forecasts, cash-flow reports, budget-to-actual reports, and other reports requested by the Finance Committee, Chief Executive Officer, or Board of Directors. Lead the development and preparation of the organization's annual operating and capital budgets. Monitor financial performance and advise leadership regarding significant budget variances, financial trends, risks, and opportunities. Supervise accounts payable, accounts receivable, general ledger, and account-reconciliation activities. Establish, document, and maintain appropriate accounting procedures, internal controls, and financial policies. Coordinate the annual financial audit and assist auditors by preparing schedules, records, and supporting documentation for general ledger accounts. Coordinate the presentation of the annual audit report to the Finance Committee, Executive Committee, and Board of Directors. Review applicable tax and regulatory filings for accuracy, including Forms 990, 990-T, 1120, and 5500. Maintain regular communication with the organization's investment advisers and monitor investment activity in accordance with approved policies. Oversee annual membership dues billing and quarterly fee billing. Review monthly sales tax reports and other required financial filings for accuracy and timely submission. Manage banking relationships, authorized accounts, cash balances, and financial institution documentation. Protect confidential financial information and maintain complete financial records in accordance with applicable retention requirements. Recommend improvements to financial systems, procedures, reporting, and internal controls. Payroll and Benefits Administration Manage payroll processing and related reporting, ensuring accuracy, timeliness, confidentiality, and compliance with applicable requirements. Review payroll changes, deductions, leave balances, benefit elections, and authorized compensation adjustments. Coordinate annual benefits open enrollment with the organization's third-party broker and benefit providers. Serve as the primary administrative contact for employee health, dental, vision, life insurance, retirement, workers' compensation, and other benefit programs. Prepare and submit quarterly 401(k) employer contribution and matching information to the retirement plan administrator. Coordinate the annual workers' compensation audit and maintain supporting payroll and classification records. Reconcile payroll and benefit accounts and resolve discrepancies with vendors and service providers. Assist employees with routine payroll and benefit questions while maintaining appropriate confidentiality. Human Resources Administer the organization's human resources functions in collaboration with the Chief Executive Officer and department leadership. Maintain accurate, confidential, and properly secured employee personnel, payroll, benefit, leave, and training records. Coordinate recruitment activities, including preparing job postings, screening applicants, scheduling interviews, conducting reference checks, and preparing offer documentation as authorized. Coordinate employee onboarding, including new-hire paperwork, orientation, payroll and benefit enrollment, policy acknowledgments, and required employment documentation. Coordinate offboarding activities, including separation documentation, benefit notifications, final payroll information, return of organizational property, and exit interviews when appropriate. Maintain and periodically update job descriptions, organizational charts, personnel forms, and human resources procedures. Assist leadership with the administration of performance evaluations, compensation adjustments, promotions, transfers, corrective-action documentation, and employee separations. Provide guidance to supervisors regarding the consistent application of personnel policies and established employment practices. Serve as an initial resource for employee questions and workplace concerns and promptly elevate sensitive or significant matters to the Chief Executive Officer or legal counsel. Coordinate leave administration, including paid time off and other applicable employee leave programs. Monitor changes to federal, state, and local employment requirements and recommend necessary updates to policies and procedures. Coordinate periodic reviews of the employee handbook and assist with communicating policy changes to employees. Review wage and salary ranges and market data and provide recommendations to maintain internal equity and market competitiveness. Coordinate required employee training, including harassment prevention, workplace safety, cybersecurity, and other compliance-related training. Support employee engagement, retention, professional development, and workplace-culture initiatives. Maintain required workplace postings and assist with employment-related reports, audits, and compliance requests. Exercise discretion and maintain strict confidentiality regarding employee, payroll, benefit, and organizational matters. Supervisory Responsibilities This position directly or indirectly supervises: Accounting Department staff Facilities Manager Other assigned administrative or support personnel Supervisory responsibilities include assigning and reviewing work, setting performance expectations, providing coaching and feedback, addressing performance concerns, supporting professional development, and ensuring compliance with organizational policies. Required Knowledge, Skills, and Abilities Comprehensive knowledge of accounting principles, financial reporting, budgeting, cash management, payroll, and internal controls. Working knowledge of human resources administration, employee benefits, personnel-record requirements, and general employment practices. Excellent leadership, management, and supervisory skills. Strong analytical, critical-thinking, and problem-solving abilities. Excellent written and verbal communication skills. Excellent organizational and time-management skills, with the ability to manage multiple deadlines and priorities. Ability to communicate financial and human resources information clearly to employees, leadership, committees, and the Board of Directors. Ability to exercise sound judgment, discretion, professionalism, and a high degree of confidentiality. Proficiency with accounting, payroll, tax-preparation, and human resources information systems. Proficiency with Microsoft Office, including advanced working knowledge of Microsoft Excel. Ability to develop effective working relationships with employees, members, volunteers, vendors, auditors, consultants, and organizational leadership. Education and Experience Bachelor's degree in accounting, finance, business administration, human resources, or a closely related field required. At least ten years of progressively responsible experience in accounting, finance, or business administration required. Previous management or supervisory experience required. Experience administering payroll, employee benefits, and human resources processes strongly preferred. Experience working with a nonprofit, membership-based organization, or professional association preferred. Certified Public Accountant, Certified Management Accountant, SHRM-CP, SHRM-SCP, PHR, or SPHR designation preferred. An equivalent combination of relevant education, training, and professional experience may be considered.
