Job Description

The Benefits Assistant is responsible for all data entry related to health benefits, retirement, and leave benefits. Supports the administration of all employee benefit programs by providing accurate information, assisting with enrollments and changes, maintaining benefits records, and serving as a point of contact for employee benefits inquiries. Assists the HR Generalist in the management of the benefit programs, while complying with state and federal laws. Assists with the Benefits Administration for the College to include meeting with employees regarding employee insurance and retirement benefits; assists employees with benefit enrollment and changes, and terminations; ensures COBRA information is appropriately disseminated; assists employees with questions related to the retirement process; and ensures that all deductions are correctly entered into Colleague. Coordinates enrollment, changes, and terminations with third-party vendors, audits membership rosters; ensures all benefit updates are timely and properly processed; and maintains up-to-date knowledge of rules and regulations that pertain to benefits (FLSA, ACA, etc.). Coordinates Leave Administration for the College to include: managing and maintaining the web-based leave system for all full-time faculty and staff; assisting and communicating with employees the various policies and procedures pertaining to leave; ensures payroll is updated with any changes in pay due to leave; audits leave usage and prepares leave reports. Reviews Benefits Orientation with new employees; works closely with HR Generalist to support benefit communications during onboarding. Assists with mandatory ACA compliance reporting for the College, including part-time employee eligibility measurement, 1095-C generation and distribution, and 1094-C generation and upload to the IRS. Works with payroll administrator to compare payroll register to benefits rosters at least three times per year (January, April, August) and ensures accuracy with payrolls. Enters new enrollments and changes by the 15th of the effective month. Processes changes within one week of receipt. A high school diploma and administrative experience. A bachelor's degree may be substituted for the required work experience. Bachelor's Degree in an HR-related field relevant to the position. 3 to 5 years of hands-on HR work experience (including employee benefits and system administration). Certification in HR-related accreditation (SHRM / HRCI). Experience with State of SC Benefits / PEBA.
