Job Description

Position Summary The Administrative Assistant - Accounting & Human Resources is responsible for supporting the day-to-day administrative operations of the office while providing clerical and organizational support to the Accounting and Human Resources functions. This position performs a variety of administrative duties, including accounting support, and general office administration. The ideal candidate is highly organized, detail-oriented, dependable, and able to manage multiple priorities while maintaining a high level of accuracy, professionalism, and confidentiality. Administrative Duties Provide general administrative and clerical support to management and office staff. Maintain organized electronic and physical files, records, and documentation. Prepare correspondence, reports, spreadsheets, forms, and other office documents. Answer and respond to general office inquiries and direct matters to the appropriate department or team member. Assist with scheduling, meetings, calendars, and other administrative activities as needed. Enter, update, and maintain information in company databases and systems. Assist with special projects and other administrative duties as assigned. Maintain confidentiality of company, employee, and financial information. Monitor office supply inventory and maintain adequate supplies. Coordinate routine office administrative needs. Accounting Duties Process and complete daily bank deposits. Process a high volume of vendor invoices and submit payments in accordance with company procedures. Complete tasks outlined on the Daily Accounting Checklist and communicate completion to the Accounting Manager. Assist with other accounting and financial administrative duties as needed. Human Resources Duties Assist new and current employees with general HR-related questions and administrative needs. Assist with insurance open enrollment Maintain and update the Employee Manual as directed, ensuring approved policy and procedure changes are accurately incorporated, and current versions are properly maintained. Maintain current proof of health insurance and automobile insurance coverage as required. Assist with other HR administrative duties and projects as needed. Maintain confidentiality of employee information and HR-related documentation. Qualifications High school diploma or equivalent required. Previous administrative and accounting experience preferred. Excellent computer skills with proficiency in Microsoft Office Suite, including Excel, Word, and Outlook. Experience with accounting software is preferred. Excellent organizational and time-management skills. Ability to multitask, prioritize responsibilities, and meet deadlines. Exceptional attention to detail and accuracy. Strong written and verbal communication skills. Ability to handle confidential information with discretion and professionalism. Ability to work independently with minimal supervision and effectively as part of a team. Professional, dependable, and positive attitude with a strong work ethic. Must live within 25 Miles of Fairhope.
Pay:
$42,000.00 - $46,000.00 per year
