Job Overview We are seeking a dynamic and highly organized Executive & Human Resources Assistant to support our leadership team and HR department. This role offers an exciting opportunity to contribute to the smooth operation of our office, facilitate effective communication, and assist with a variety of administrative and HR-related tasks. The ideal candidate will possess strong organizational skills, technical proficiency, and a proactive attitude to help drive efficiency and foster a positive work environment. Duties Provide comprehensive executive administrative support by managing calendars, scheduling meetings, and coordinating travel arrangements for senior leaders. Assist with internal communication efforts, including drafting emails, memos, and reports to ensure clear and professional messaging across teams. Organize company events, meetings, and training sessions, handling logistics such as venue booking, catering, and materials preparation. Maintain confidentiality when handling sensitive information related to personnel records, business strategies, or contractual documents. Support HR functions by assisting with onboarding processes, maintaining employee records in HRIS systems, and processing documentation via DocuSign or other digital platforms. Coordinate project activities across departments using project management tools; track progress and ensure deadlines are met efficiently. Manage office operations including filing systems, data entry, supply inventory, front desk duties, multi-line phone systems, and general clerical tasks such as proofreading and transcription. Requirements Proven experience in an executive assistant or administrative support role within a professional office environment. Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), productivity software, and video conferencing tools such as Zoom or Microsoft Teams. Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced setting. Demonstrated experience with calendar management using Microsoft Outlook Calendar or similar scheduling tools. Familiarity with bookkeeping software like QuickBooks and basic bookkeeping principles is preferred. Exceptional written communication skills along with strong phone etiquette and customer service orientation. Ability to handle confidential information discreetly while maintaining professionalism at all times. Experience in event planning, project coordination, data entry, filing systems, and office management tasks. Technical proficiency in office equipment operation including multi-line phones and digital signature platforms like DocuSign.
