This role is responsible for assisting with recruitment, onboarding, employee records management, payroll and benefits support as needed while ensuring compliance. The HR Assistant serves as a key point of contact for operations regarding administrative support while maintaining both confidentiality and accuracy in various HR functions. This position works closely with the Corporate Human Resources team, Campus Director/President, and the Director of Education to support various administrative HR functions. Reporting Structure & Oversight This position reports directly to the Campus Director/President This role maintains a dotted-line reporting relationship to Corporate Human Resources, including the VP of Human Resources, Human Resources Generalist, Director of Payroll, and HRIS Specialist The HR Assistant is required to follow direction, guidance, and protocols established by Corporate HR Scope of Authority & Decision-Making This role is administrative and support-focused and does not have independent decision-making authority related to Human Resources matters The HR Assistant may not conduct HR investigations independently The HR Assistant may not make HR-related decisions, including but not limited to employee relations matters, disciplinary actions, or policy interpretations All HR related concerns, employee issues, and potential policy violations must be escalated to and reviewed by Corporate Human Resources prior to any action being taken Key Responsibilities Recruitment & Hiring Support Assist as needed with the recruitment process Coordinate communication with hiring managers Create offer letters Onboarding & Training Facilitate new hire onboarding processes, including preparation of orientation materials Coordinate and assist with new employee orientation and training sessions Ensure completion of all required onboarding documentation Employee Records & HRIS Management Enter all new hire information into the HRIS system (Paylocity) in a timely and accurate manner Work closely with the HRIS Specialist to maintain accurate and up-to-date employee records in HR systems (Paylocity) Partner with the HRIS Specialist to enter and audit HR data to ensure accuracy and compliance Assist in generating HR reports and supporting data analysis Assist the Corporate Director of Payroll with payroll related matters such as timekeeping issues, expense reports, garnishments, and so forth. Administrative Support Provide clerical and administrative support to the Corporate Human Resources team as needed Manage HR documentation, correspondence, and filing systems Respond to employee inquiries and direct them to appropriate resources Support communication and coordination between campus leadership and Corporate HR Payroll & Benefits Administration Assist the Corporate Human Resources team, Campus Director/President, and Director of Education with timekeeping and payroll issues Send all wage garnishments, employment verifications, and related documentation to the Corporate Director of Payroll for processing Help resolve basic payroll and benefits-related inquiries and escalate issues as appropriate Assist Corporate Human Resources Generalist with the roll-out and coordination of the annual employee performance review process Payroll & Benefits Administration continued Work closely with the Corporate Human Resources Generalist to support administration of employee benefits programs, including assisting with the roll-out of the annual employee benefits open enrollment process Compliance & Employee Relations Ensure all federal, state, and local labor laws posters are hung Maintain confidentiality of sensitive employee information Escalate all employee relations matters to Corporate Human Resources for review and direction while including the Campus Director/President and DOE Collaboration & Cross-Functional Support Partner closely with the Corporate Human Resources Generalist on HR initiatives and employee support Collaborate with the Corporate Director of Payroll-on-payroll processes and issue resolution Work with the HRIS Specialist to support system accuracy, reporting, and improvements Support the Campus Director/President and Director of Education with HR-related administrative needs Ensure alignment between campus operations and Corporate HR policies and procedures Scheduling & Coordination Coordinate interviews, trainings, and events Support Corporate HR projects, audits, and special initiatives Daily Activity Reporting (DAR) Requirement Prepare and submit a Daily Activity Report (DAR) outlining completed tasks, ongoing items, and pending issues Submit the DAR daily to both the Campus Director/President and the Corporate Human Resources Generalist Ensure accuracy, timeliness, and transparency in all reporting Qualifications & Requirements Education High school diploma or equivalent required Associate or Bachelor's degree in Human Resources, Business Administration, or a related field preferred Experience Minimum of 2-3 years of HR or HRIS experience (Paylocity preferred) Experience supporting payroll, benefits, and timekeeping processes Familiarity with HR processes, compliance requirements, and best practices Technical Skills Proficiency in Microsoft Office (especially Excel) Experience with HRIS systems (Paylocity strongly preferred) Strong analytical and problem-solving skills Experience with system implementations or upgrades is a plus Soft Skills Excellent verbal and written communication skills Strong organizational and time management abilities High attention to detail and accuracy Ability to handle confidential information with discretion Ability to work independently while following established HR protocols Essential Skills Strong interpersonal skills and ability to work effectively with diverse populations Self-starter with the ability to take initiative Ability to manage multiple priorities with minimal supervision Working Conditions & Physical Demands Work is performed in a school/office environment Requires routine walking, standing, bending, and occasional lifting Use of standard office equipment including computer, phone, and copier Additional Requirements Travel may be required to various campus locations Must comply with company policies, procedures, and professional conduct standards
