Job Description
Position Summary The Office and Human Resources Administrator provides administrative support for CP3 Construction's office operations and human resources functions. This position is responsible for maintaining organized office and employee records, supporting new hire onboarding and orientation, assisting with recruiting, and helping ensure that routine administrative and HR processes are completed accurately and on time. The ideal candidate is organized, dependable, professional, and able to handle confidential information with discretion. This position requires strong follow-through, attention to detail, and the ability to manage multiple priorities in a fast-paced construction environment. Essential Duties and Responsibilities Office Administration Maintain organized electronic and physical filing systems. Scan, upload, label, and file company documents accurately and promptly. Maintain office records, forms, correspondence, and administrative documents. Answer and route telephone calls, emails, and general inquiries. Assist with ordering office supplies and monitoring inventory. Prepare letters, forms, spreadsheets, reports, and other business documents. Support scheduling, meetings, calendars, and office communications. Collect, distribute, and process incoming and outgoing mail and documents. Assist with maintaining office equipment and coordinating service requests. Provide general administrative support to leadership and other departments. Track assigned tasks and deadlines using the company's designated systems. Assist with special projects and other administrative duties as assigned. Human Resources Administration Maintain accurate and confidential personnel files, both electronic and physical. Ensure required employment documents are completed, signed, and properly filed. Assist with new hire onboarding and conduct employee orientation. Prepare new hire packets, policies, acknowledgments, and required employment forms. Assist with Form I-9 completion and documentation in accordance with company procedures. Coordinate background checks, drug screenings, and other pre-employment requirements. Enter and update employee information in HR, payroll, timekeeping, and company systems. Track employee training, certifications, policy acknowledgments, and required documentation. Assist with benefits enrollment materials and communicate enrollment deadlines. Support employee separation procedures, including preparing documents and coordinating the return of company property. Maintain confidentiality regarding employee, payroll, medical, disciplinary, and company information. Direct employee questions or sensitive matters to the Director of Human Resources and Operations. Assist with preparing routine HR reports, employee lists, and compliance tracking logs. Recruiting Support Assist with drafting and posting job advertisements. Review applications and resumes based on established position requirements. Conduct initial candidate screening calls when assigned. Schedule interviews and communicate with applicants throughout the hiring process. Coordinate interviews with hiring managers and company leadership. Maintain applicant records and update recruiting trackers. Prepare offer letters and pre-employment documents for HR review and approval. Support recruiting events, job fairs, and outreach activities as needed. Communicate professionally with candidates and help provide a positive applicant experience. Payroll and Timekeeping Support Assist with collecting and organizing employee timekeeping documentation. Follow up on missing timecards, approvals, or required payroll information. Help maintain records related to attendance, sick pay, vacation, and other employee absences. Assist with payroll reports and administrative payroll preparation as directed. Refer payroll discrepancies, wage questions, and employee concerns to the Director of Human Resources and Operations. Maintain strict confidentiality of payroll and compensation information. Qualifications High school diploma or equivalent required. Associate degree or additional education in human resources, business administration, or a related field preferred. Two or more years of office administration, human resources support, recruiting coordination, or related experience preferred. Experience working in construction, field operations, or a similar fast-paced environment is preferred. Basic knowledge of California employment practices and HR documentation is preferred. Proficiency in Microsoft Office or Google Workspace, including Word or Docs, Excel or Sheets, email, and calendars. Experience with Paychex, Workyard, Asana, QuickBooks, or similar business systems is helpful. Bilingual English and Spanish skills are preferred but not required. Knowledge, Skills, and Abilities Strong organizational and document-management skills. Excellent attention to detail and accuracy. Ability to manage multiple assignments and meet deadlines. Strong written and verbal communication skills. Professional and courteous interpersonal skills. Ability to follow established procedures and ask questions when direction is unclear. Ability to maintain confidentiality and exercise sound judgment. Ability to work independently while also collaborating with employees, supervisors, and leadership. Dependable attendance, punctuality, and consistent follow-through. Ability to learn new software, systems, and administrative processes. Physical Requirements Ability to remain seated and work at a computer for extended periods. Ability to communicate by telephone, email, video conference, and in person. Ability to occasionally lift and carry office supplies or files weighing up to 25 pounds. Ability to travel to job sites, recruiting events, or other company locations when required.
