This position will often be the first point of contact for many human resources inquiries and serve as a resource to staff on HR/Payroll procedures and practices. This role will support the transition to new HRIS Oracle ERP system and align processes with the university's new service delivery model.
Your specific responsibilities include:
The administration of records transactions and liaison with Stanford University Payroll Enter full range of Oracle Cloud data for personnel transactions to include new hires, address changes, terminations, status changes, retroactive reclassifications, layoffs and reorganizations Coordinate and perform data management activities including initiating transactions (e.g. Cell Phone Allowance, Payroll Advances, etc.) and ensuring compliance with Stanford policies Process and submit accurate and timely transactions to payroll (via Service Now) Research and resolve records, payroll and/or other human resources inquiries. Refer more complex issues to Records & Transaction Lead Serve as a resource on HR Records and Payroll issues and effectively communicate human resources policies and explain human resources processes and procedures Provide HR Records and Payroll support, customer service, and issue resolution. Partner effectively with HR Business Partners, Accounting specialists and Stanford University Payroll to resolve issues. Handle highly sensitive and confidential information with discretion. Process employment verification letters in Microsoft Word. Develop and apply a solid knowledge of University, SLAC, and DOE policies related to records matters and procedures. Records retention and archival of personnel files To be successful in this position you will bring: Associate degree and two years of relevant experience, or a combination of education and relevant experience. Two year of experience in Human Resources is preferred. Strong attention to detail and accuracy. Strategic and critical thinking skills are a must. Ability to work independently and without close supervision. Ability to learn and apply general human resources policies using problem solving skills. Demonstrated ability to maintain confidentiality and effectively handle highly sensitive and personal information with sound judgment, tact, and discretion. Ability to consistently follow through with projects and assignments and meet deadlines. Excellent oral and written communication skills. Strong and effective interpersonal and customer service skills. Strong computer skills, including Microsoft Office suite (Outlook, Word, and Excel). Familiarity with human resource management systems, such as Oracle Cloud ERP systems. This is a one-year fixed-term appointment with the possibility of extension or conversion to a regular continuing position. Assignment duration is contingent upon project needs and funding.
Responsibilities Core Duties:
Compensation and benefits: Process compensation-related transactions and respond to benefits-related questions using standard operating procedures and university guidelines and policies, including salary actions, bonuses, and other supplemental pay. Escalate unique and/or complex compensation and benefits requests to the supervisor or more senior HR team members. Disability and Leaves /
Workers' Comp:
Answer routine questions and explain applicable disability/leave (DLS) and workers' compensation (WC) procedures to employees and managers. Generate related correspondences. Coordinate with DLS and/or WC specialists when appropriate.
HRIS/People Analytics:
Support data entry, and record retention. Generate standard reports utilizing the HCM system for purposes of compliance, audit, and metrics.
Performance Management:
Support the tracking of performance appraisal forms. Run reports and provide updates to more senior HR team members on completion rates. Assist with inquiries related to the performance management program and technology as needed.
Talent Acquisition:
Support the candidate experience including job postings, application reviews, interview scheduling, collecting rater feedback, disposition of candidates, etc. Assist in coordinating the onboarding and exit processes for staff. Liaise with central university offices as needed.
Transactions:
Process high volume HR transactions in the HCM system using standard operating procedures and university guidelines for multiple types of HR transactions, including hiring, personnel changes, reclassifications and related activities. Process centralized operational work for all school and VP areas including, but not limited to, Tuition Grant Program applications, background checks and compliance, benefit contribution payroll adjustments, retiree records, Welcome Center hiring and enrollments, contributory retirement accounts for rehires, etc. Respond to employee questions and perform corrections for these same university-wide operational processing functions. Maintain personnel and human resources-related files. Maintain consistency with Stanford HR policies, procedures and requirements, and applicable local, state and federal laws. Minimum Education:
Associate Degree or combination of education and relevant experience.
Minimum Experience:
0-2 years of administrative or customer support services experience preferred.

All tiers of investigation include a declaration of illegal drug activities, including use, supply, possession, or manufacture within the last 1 to 7 years (depending on the applicable tier of investigation), illegal drug activities include marijuana and cannabis derivatives, which are still considered illegal under federal law, regardless of state laws. For foreign national candidates If you have not resided in the U.S. for three consecutive years, you are not eligible for PIV credential and instead will need to obtain a favorable Local Site Specific Only (LSSO) Federal risk determination to maintain employment.
