Schedule:
Monday to Thursday HR/legal admin Assistant Under guidance of the General Counsel, will assist the Company in Legal and HR administrative tasks such as contract maintenance and filing, maintenance of corporate books, onboarding for direct hire employees, personnel and company documentation maintenance, assist with drafting policies, safety initiatives and employee communications.
Duties and Responsibilities:
Coordinates require training by scheduling training sessions and maintaining employee records of completed training. Conducts employee onboarding of including creation of personnel files. Provides administrative support by entering, formatting, and printing information. Assists in the preparation of and organizes the documentation related to employees and HR matters ensuring they are up-to-date and compliant with relevant federal, state and local regulations, both physically and electronically. Assists with I9 Compliance document maintenance. Maintains employee files. Maintains temporary worker files ensuring all documentation was provided by agencies. Maintains legal files and documents; creates filing system for contracts and legal documents.
Performance Requirements:
Full time 4 days a week schedule 9:30 to 6:00. Schedule may vary by departmental needs. While performing the duties of this job, the employee is regularly required to sit, stand occasionally; use hand to finger, use of computer equipment, telephone unit, office machines; and talk or hear. The employee frequently is required to reach with hands and arms. Occasionally required to lift and/or move up to 15 pounds. The position is based in Mission Viejo. Ability to shift priorities on a very short notice.
Experience/Knowledge/Skills:
High School Diploma and 5 plus years HR/Admin. experience in an office environment. Excellent computer skills including Microsoft Office Suite, especially word and excel. Excellent communication skills (written verbal) Excellent organizational skills and attention to detail. Excellent time management skills with a proven ability to meet deadlines. Ability to prioritize tasks. Ability to act with integrity, professionalism and confidentiality. Ability to exercise considerable judgment, initiative and discretion in the handling of confidential personnel information.
