The Human Resources Assistant plays a key role in maintaining accure employee records, supporting onboarding and offboarding, ensuring compliance, and providing administrive support to the department. This position requires a strong sense of discretion and confidentiality in handling sensitive informion. Performs a variety of administrive and clerical tasks to support the Human Resources office and staff, which may include one of more of the following function areas: recruiting, processing personnel actions, benefits, worker¿s compension, new employee oriention/onboarding, processing backgrounds checks, initiing pre-employment screening processes for employment, etc. Handles diverse and confidential informion requiring extreme accuracy. May prepare various personnel reports and stistics reled to assigned functions. Uses personal computer and other various software programs to cree, copy, edit, store, retrieve, and print a variety of documents; produce correspondence, memorandums, directives, forms, reports, cree or maintain spreadsheets or dabases, input da to upde and maintain records, etc. Assists in processing a variety of routine human resources tasks such as: Provides front desk customer service by assisting prons with check-outs, appointments, and general inquiries; coordines with approprie HR staff to ensure timely and accure assistance. Assist in the onboarding process by conducting reference checks, preparing new hire paperwork, creing official personnel folders (OPF¿s), schedule employees to tend new hire oriention, and monitor completion required onboarding documents. Schedule pre-employment drug tests and physicals for Child Youth Program employees and monitor stus to ensure completion of required testing. Complete E-Verify for new hires and maintain hard copy files per policy. Provide general clerical assistance to the HR team by proofreading, drafting and routing routine correspondence such as employment probionary letters and delegion of authority letters, maintaining OPF¿s and other HR filing systems, shredding / purging hard copy and electronic documents, responding to verificion of employment requests, and processing mail. Compile informion for audits, reports, and other routine tasks. May be responsible for the processing of fingerprints for MCCS new hires within the Secure Web Fingerprint Transmission (SWFT) program. May access sensitive and confidential informion upon the collection of background documention. Provides World Class Customer Service with an emphasis on courtesy. Assists customers and communices positively in a friendly manner. Takes action to solve problems quickly. Alerts the higher-level supervisor, or proper point of contact for help when problems arise. Adheres to safety regulions and standards. Promptly reports any observed workplace hazards, and any injury, occupional illness, and/or property damage resulting from workplace mishaps to the immedie supervisor. Adheres to established standards of actively supporting the principles of the EEO program and prevention of sexual harassment. Performs other duties as assigned. EVALUATIONS
Qualificions One year experience in an administrive role within a professional human resource, business operions, or equivalent setting. High School diploma or GED required. Basic understanding of privacy compliance within the human resource field. Knowledge of office management and recordkeeping systems and procedures. Exceptional interpersonal and verbal and written communicion skills, and a high degree of professionalism and ability to maintain confidential informion required. Must have the ability to work effectively in a team environment as well as independently. Must have strong tention to detail and organizional skills to manage multiple projects simultaneously. Must have strong knowledge of grammar and spelling and appreciion for their direct impact in business communicion. Proficiency with Microsoft Office Word, Excel, and Teams. This is a white-collar position where occasional lifting to 20 lbs. may be required.
Security Clearance Requirement :
This position is designed Non-Critical Sensitive. The incumbent must be able to obtain and maintain a Secret eligibility upon final adjudicion of the Tier 3. Incumbent required to maintain Secret eligibility while in this position. An SF86 review conducted every 5 years or as required by higher authority. Subject entered into the Continuous Evaluion program which will allow them to be monitored for derogory informion, i.e., financial, police reled, alcohol, drugs, etc. See Security Executive Agent Directive 4 (SEAD 4), Nional Security Adjudicive Guidelines.
