Job Description Station Administrative Assistant HHS Aviation is seeking a highly organized and proactive Station Administrative Assistant to provide comprehensive administrative and clerical support to our team. The ideal candidate will be a detail-oriented individual with excellent communication and interpersonal skills, capable of managing multiple tasks efficiently and maintaining a professional demeanor at all times.
Position Overview:
The Administrative Assistant will play a crucial role in ensuring the smooth and efficient operation of our office. This position requires a resourceful individual who can work independently, anticipate needs, and contribute to a positive and productive work environment.
Responsibilities General Administrative Support:
Answer and direct phone calls, take messages, and provide information to callers. Manage and maintain electronic and paper filing systems. Schedule and coordinate meetings, appointments, and conference calls. Prepare agendas, take meeting minutes, and follow up on action items. Prepare, organize, and approve payroll. Order and maintain office supplies, ensuring adequate stock levels. Maintain and organize common office areas. Assist with photocopying, scanning, and faxing. Greet and assist visitors in a professional and courteous manner.
Communication and Correspondence:
Draft and edit correspondence, emails, memos, and reports. Proofread documents for accuracy and completeness. Maintain and update contact lists and databases. Assist with the preparation of presentations and other materials.
Project Support:
Assist with various administrative tasks related to projects.
Other Duties:
Perform other administrative and clerical duties as assigned. Maintain confidentiality of sensitive information. Contribute to a positive and collaborative team environment.

Gather information and prepare reports as needed. Follow up on project-related tasks and deadlines.

Organization:
Attention to detail and ability to effectively manage tasks in a fast-paced environment Requirements High school diploma or equivalent required; Associate's or Bachelor's degree in Aviation Management, Business Administration, Education, or related field preferred. Two or more years of aviation operations, training, safety, or supervisory experience preferred. Experience coordinating employee training programs and maintaining compliance records preferred. Working knowledge of FAA, TSA, OSHA, airport authority, and airline operational requirements preferred. Experience with Workday Learning, Learning Management Systems (LMS), or similar training platforms preferred.
Preferred:
Experience delivering aviation operational training, developing training materials, and facilitating classroom or hands-on instruction. Strong proficiency with Microsoft Excel, Word, Outlook, and PowerPoint. Must pass all airport background screening requirements and possess a valid driver's license (where applicable).
