Human Resource Coordinator Ibis Healthcare - 2.7 Tampa, FL Job Details Part-time 1 day ago Qualifications Phone communication Full Job Description Essential Duties and Responsibilities Recruitment and Staffing Assist with the recruitment and selection process, including posting job openings, reviewing applications, scheduling interviews, and communicating with candidates. Coordinate pre-employment requirements, including background screenings, employment verifications, reference checks, and required documentation. Prepare new-hire paperwork and ensure all required employment documents are completed accurately and timely. Maintain accurate recruitment and applicant tracking records. Support managers and department leaders throughout the hiring process. New Employee Onboarding Coordinate and facilitate the administrative aspects of new employee onboarding. Ensure new hires complete required employment, payroll, benefits, compliance, and organizational documents. Assist with orientation and communicate organizational policies, procedures, expectations, and HR resources. Coordinate required training and onboarding activities with appropriate departments. Ensure personnel files are complete and maintained in accordance with organizational requirements. HRIS and Personnel Records Maintain accurate and confidential employee records within the organization's HRIS, including DATIS or other designated systems. Process employee changes, including new hires, transfers, promotions, status changes, leaves, and terminations. Conduct routine audits of HR records to identify and correct discrepancies. Maintain electronic and physical personnel files in accordance with applicable retention requirements. Prepare HR reports and provide requested workforce data to HR leadership. Benefits and Leave Administration Assist employees with questions regarding benefits, enrollment, eligibility, and benefit-related processes. Coordinate benefits enrollment and qualifying life event documentation. Assist with leave administration and maintain appropriate documentation. Communicate benefit information to employees in a timely and professional manner. Escalate complex benefits or leave matters to the appropriate HR leader or benefits administrator. Employee Relations and HR Support Serve as an initial point of contact for routine employee HR questions and concerns. Provide employees and managers with information regarding HR policies and procedures. Maintain appropriate documentation related to employee relations matters. Escalate employee concerns, policy violations, and other sensitive matters to the HR Manager or CHRO as appropriate. Promote positive employee relations and a professional workplace environment. Performance Management Assist with the coordination and administration of annual and periodic performance evaluations. Track evaluation completion and follow up with managers regarding outstanding evaluations. Maintain performance management records in the HRIS. Assist HR leadership with performance management initiatives and employee development programs. Compliance and Training Assist with maintaining compliance with applicable employment laws, regulations, accreditation requirements, and organizational policies to include I9 verification, background screenings. Maintain records related to required employee certifications, licenses, screenings, and training. Assist with compliance audits and HR reporting. Support mandatory training initiatives and maintain completion records. Immediately report potential compliance concerns to HR leadership. Payroll and Timekeeping Support Assist with routine payroll-related HR transactions and employee inquiries. Review employee status and demographic changes for accuracy prior to payroll processing. Assist with timekeeping and attendance-related inquiries. Coordinate with payroll personnel to resolve discrepancies in a timely manner. Offboarding and Terminations Assist with the employee separation process, including required documentation, exit interviews, system updates, and notification of appropriate departments. Ensure terminated employees' records are updated accurately and timely. Assist with the collection of company property and coordination of access termination as appropriate. Maintain confidentiality regarding all separation-related information. Additional Responsibilities Provide administrative support to the CHRO and HR leadership team. Assist with HR projects, employee engagement initiatives, surveys, and organizational events. Prepare correspondence, reports, spreadsheets, presentations, and other HR documents. Assist with HR audits and special projects as assigned. Maintain a high level of professionalism and confidentiality at all times. Perform other duties and responsibilities as assigned.
Required Qualifications Education:
Associate degree in Human Resources, Business Administration, Management, or a related field preferred. A combination of relevant education and professional HR experience may be considered.Experience:
Minimum of 2 years of administrative or human resources experience preferred. Healthcare, behavioral health, nonprofit, or other regulated-environment experience preferred. Experience working with an HRIS is preferred. Knowledge, Skills, and Abilities Knowledge of fundamental human resources principles and practices. Understanding of employee confidentiality and appropriate handling of sensitive information. Strong organizational and time-management skills. Excellent written and verbal communication skills. Strong attention to detail and accuracy. Ability to manage multiple priorities and meet deadlines. Ability to communicate professionally with employees at all levels of the organization. Strong problem-solving and customer-service skills. Proficiency with Microsoft Office Suite, including Word, Excel, Outlook, and Teams. Ability to learn and effectively utilize HRIS and other HR technology. Ability to work independently while functioning effectively as part of a team. Ability to exercise sound judgment and maintain appropriate confidentiality.
