Job Description

Position Overview ZenTech Consulting is seeking a highly organized, people-focused Onboarding Coordinator to manage the onboarding experience for a high volume of new employees and candidates. This position is responsible for guiding individuals through the onboarding process from initial acceptance through their first day, ensuring that all required paperwork, screenings, documentation, and administrative steps are completed accurately and on time. The ideal candidate thrives in a fast-paced environment, can manage multiple onboarding processes simultaneously, and genuinely enjoys helping people. Because much of the onboarding process is conducted virtually, this individual must be highly responsive, comfortable communicating through phone, text, and email, and able to make new employees feel welcomed, informed, and supported. This is a highly visible role that directly impacts the overall employee experience, first-day readiness, and retention. Key ResponsibilitiesHigh-Volume Onboarding Manage the onboarding process for multiple new hires simultaneously Guide individuals through each step from offer acceptance through their first day Ensure all required forms, documentation, screenings, and employment requirements are completed accurately and on schedule Monitor onboarding progress and follow up on outstanding items Maintain accurate records and documentation within internal systems Employee Experience Serve as a primary point of contact for individuals throughout the onboarding process Conduct virtual welcome calls and onboarding conversations Communicate clearly and consistently through phone, email, and text Answer questions and provide guidance throughout the onboarding process Proactively identify potential issues that could delay someone's start date Create a welcoming and professional experience from the first interaction through the first day Help new employees feel informed, prepared, and valued Coordination & Communication Coordinate closely with recruiting, human resources, operations, management, and other internal teams Ensure all onboarding deadlines are met Communicate potential delays or missing requirements quickly Maintain detailed onboarding checklists and workflows Coordinate multiple start dates and onboarding timelines at the same time Keep all appropriate parties informed of onboarding status Documentation & Compliance Review onboarding documents for accuracy and completeness Assist with employment documentation, background checks, drug screenings, I-9/E-Verify processes, and other required pre-employment steps Utilize electronic onboarding systems and other administrative platforms Maintain confidentiality and accuracy when handling employee information Follow established company policies and employment requirements Process Improvement Identify opportunities to make the onboarding process faster, easier, and more efficient Develop and improve onboarding communications, checklists, and procedures Help identify common onboarding issues and develop solutions Participate in efforts designed to improve first-day readiness and employee retention Conduct first-week follow-ups when appropriate to ensure new employees have successfully transitioned into their role Qualifications 2+ years of experience in onboarding, recruiting, HR, customer service, administration, operations, workforce coordination, or a similar high-volume environment Experience managing multiple people, tasks, or processes simultaneously Strong organizational and time-management skills Excellent verbal and written communication skills Comfortable communicating with people through phone, email, text, and virtual platforms Strong attention to detail and follow-through Ability to prioritize competing deadlines in a fast-paced environment Comfortable learning and using computer systems, databases, and online platforms Professional, positive, and approachable personality Strong problem-solving skills and the ability to take ownership of issues High emotional intelligence and a genuine desire to help people succeed Preferred Qualifications Experience in a high-volume hiring or onboarding environment Experience with HR, ATS, CRM, onboarding, or workforce management systems Experience coordinating background checks, drug screenings, I-9/E-Verify, or other pre-employment requirements Experience working with hourly, operational, warehouse, manufacturing, logistics, or other high-volume workforces What Success Looks Like New employees feel welcomed, informed, and supported throughout the onboarding process Onboarding requirements are completed accurately and on time New employees are fully prepared for their first day Start-date delays are minimized Questions and issues are addressed quickly and professionally Multiple onboarding processes are managed efficiently without details falling through the cracks New employees have a positive first impression of the organization Strong communication and follow-through contribute to improved employee retention

$20.00 - $23.00 per hour
