Job Description

Position Summary The People & Operations Specialist is a cross-functional role responsible for supporting Human Resources, employee experience, and day-to-day business operations across Rowe Plastic Surgery. This position will partner closely with the Vice President of Human Resources and COO to support recruiting, onboarding, HR systems, employee programs, administrative workflows, vendor coordination, and office operations. The ideal candidate is highly organized, proactive, service-oriented, and comfortable managing multiple priorities in a fast-paced, multi-location healthcare environment. Key Responsibilities People Operations & Human Resources Support full-cycle recruiting for clinical and non-clinical positions, including job postings, candidate screening, interview coordination, and offer administration. Coordinate pre-employment requirements, background checks, drug screening, documentation, and onboarding activities. Manage new hire onboarding and support 30/60/90-day integration. Maintain accurate employee records, HRIS data, personnel files, and required documentation. Support payroll, benefits administration, open enrollment, employee changes, and related employee questions. Assist with employee communications, engagement initiatives, recognition programs, and culture-building activities. Support compliance tracking, required training, acknowledgments, licenses, certifications, and other employee documentation. Assist with HR reporting, audits, workforce data, and administrative projects. Maintain confidentiality and exercise discretion when handling employee and business information. Operations & Administrative Support Support day-to-day administrative and operational needs across Rowe Plastic Surgery locations. Coordinate office supply ordering and maintain appropriate inventory levels for administrative supplies. Track recurring supply needs and identify opportunities to improve purchasing efficiency and cost control. Support operational projects, process improvements, documentation, and internal workflows. Assist with maintaining SOPs, checklists, administrative records, and shared resources. Coordinate meetings, trainings, internal communications, and cross-functional initiatives as needed. Provide administrative support to leadership on projects and operational priorities. Vendor & IT Coordination Serve as an administrative point of contact for designated business and operational vendors. Support coordination with IT vendors related to computers, phones, internet, printers, software access, equipment setup, and employee technology needs. Coordinate IT onboarding and offboarding requests for employees, including equipment, system access, and account setup or termination. Track open vendor requests, service issues, installations, repairs, and follow-up items. Maintain vendor contact information, agreements, service records, renewal dates, and related documentation. Assist with reviewing vendor invoices and escalating billing or service discrepancies when appropriate. Support vendor comparisons, quotes, renewals, and implementation of new services or technology. Coordinate with Finance, HR, Operations, and leadership to ensure vendor-related requests are completed accurately and timely. Office Support & Purchasing Order and maintain administrative office supplies based on established inventory levels and business needs. Coordinate purchasing requests and maintain organized records of orders and recurring expenses. Monitor supply usage and identify opportunities for standardization and cost savings. Coordinate with office leadership regarding location-specific operational needs. Assist with facilities-related coordination and service vendors as assigned. Qualifications Bachelor's degree in Human Resources, Business, Healthcare Administration, or related field preferred. 2-5 years of experience in HR, People Operations, office operations, or a similar cross-functional role. Experience in healthcare, medical practice, or professional services preferred. Experience with recruiting, onboarding, HRIS systems, and employee administration. Experience coordinating vendors, purchasing, office operations, or IT support preferred. Strong Microsoft Office and Google Workspace skills. Ability to learn and navigate HR, payroll, recruiting, and business systems. What We're Looking For Highly organized with strong attention to detail. Role Focus This role is intended to provide hands-on support across both People Operations and business operations, helping ensure employees, systems, vendors, and office resources are well coordinated while allowing HR and operational leadership to remain focused on higher-level strategic priorities.
Pay:
$55,000.00 - $62,000.00 per year
