Job Description
The Howard Center for Women's Health is seeking a detail-oriented, dependable, and highly organized Human Resources Administrative Assistant to support the daily operations of our Human Resources department. This position plays an important role in supporting recruitment, onboarding, employee records, compliance tracking, and other HR administrative functions across our growing organization. The ideal candidate will have prior administrative experience, strong communication and organizational skills, and an interest in continuing to develop their career in Human Resources. This position requires someone who is comfortable managing multiple priorities, handling confidential information, and working in a fast-paced healthcare environment. Position Overview The Human Resources Administrative Assistant provides administrative and operational support to the HR department throughout various stages of the employee lifecycle. This role assists with recruiting and interview coordination, onboarding, employee documentation, HR system updates, compliance tracking, and general employee support. The successful candidate will be highly organized, professional, responsive, and able to follow through on assignments with accuracy and attention to detail. Key Responsibilities Assist with employee onboarding, including preparing new hire documentation, coordinating onboarding and training schedules, and entering employee information into HR systems. Assist with recruitment activities, including job postings, candidate communication, interview scheduling, and coordination with hiring managers. Assist with pre-employment requirements, including background checks, drug screenings, and other required documentation. Maintain accurate and organized employee personnel files and HR records in accordance with company policies and applicable requirements. Process employee information changes and assist with maintaining accurate information within HR systems. Track employee licenses, certifications, training requirements, and other compliance-related documentation. Provide administrative support related to payroll, timekeeping, attendance, and employee record inquiries as directed by the HR team. Assist with benefits-related administrative tasks and direct employee questions to the appropriate HR team member when necessary. Prepare and maintain HR correspondence, forms, reports, spreadsheets, and other departmental documentation. Assist with documentation related to employee evaluations, disciplinary actions, leaves of absence, and separations as directed by HR leadership. Communicate professionally with employees, candidates, managers, and outside vendors. Assist with HR audits, special projects, and departmental initiatives. Maintain strict confidentiality regarding employee, applicant, payroll, and company information. Provide general administrative support to the Human Resources department as needed. Pay close attention to details and recognize the importance of accuracy when handling employee information and HR documentation. Communicate professionally and courteously with employees, applicants, managers, and leadership. Be comfortable answering phones, responding to emails, coordinating schedules, and handling frequent interruptions throughout the workday. Demonstrate strong follow-through and take ownership of assigned responsibilities. Exercise discretion and good judgment when working with confidential or sensitive information. Be adaptable and willing to assist with different HR responsibilities as departmental needs change. Be comfortable receiving feedback, asking questions when necessary, and learning new processes and systems. Maintain a positive, team-oriented attitude while also being capable of working independently. Qualifications High school diploma or equivalent required. 1-3 years of administrative, Human Resources, or healthcare office experience preferred. Strong organizational skills with excellent attention to detail and accuracy. Excellent written and verbal communication skills. Professional demeanor and strong interpersonal skills. Ability to maintain confidentiality and appropriately handle sensitive employee and company information. Proficiency with Microsoft Office, including Outlook, Word, and Excel. Experience with HRIS or payroll systems preferred; ADP Workforce Now experience is a plus. Ability to learn new systems and processes quickly. Ability to manage multiple assignments, meet deadlines, and adjust priorities in a fast-paced environment. Strong follow-through and ability to work both independently and collaboratively as part of the HR team.
