The Human Resources Assistant maintains a close and highly responsive relationship of the day-to-day work activities of the managers and other duties as assigned. The Human Resources Assistant works independently with minimal supervision using a considerable amount of judgment to make responsible decisions, completes tasks in a timely manner, and effectively communicates with internal and external stakeholders with a high level of professionalism. The HR Assistant is dedicated to the learning college concepts by facilitating activities that promote employee engagement, operational efficiency, and institutional compliance.
ESSENTIAL DUTIES AND RESPONSIBILITIES
include the following. Other duties may be assigned. 1. Greets visitors, ascertains nature of business, and refers visitors to supervisor or appropriate person. 2. Answers in-person, telephone, and email inquiries, provides information, and routes inquires to appropriate department/individual. 3. Reads and routes incoming mail. Locates and attaches appropriate file material to correspondence to be answered by other human resources staff members. Prepares outgoing mail. 4. Composes letters, memoranda, records based on standard procedure, some of which may be confidential in nature. 5. Assists applicants by providing information about current job postings and in completing the college's employment application and assists in maintaining applicant tracking system. 6. Administers and monitors required applicant testing. 7. Inputs employee personnel and payroll data into the human resources information system and on various vendor sites; verifies data for accuracy. 8. Coordinates distribution and collection of forms for new hires, reclassifications, and terminations. 9. Assists in compiling reports or other departmental material per general instruction. 10. Maintains any number of routine or confidential records and reports, keeps related files, shreds confidential material to be discarded, and files correspondence and other records according to established file classification system. 11. Prepares payment authorizations and purchase orders; reviews budget to verify sufficient funding exists for purchases. 12. Processes employment verifications, I-9 verifications, tuition waivers, orders of withholding, subpoenas for records, and other internal and external required documents. 13. Prepares materials for the human resources section of the monthly report to the Board of Trustees and sends communication of approved human resources decisions to appropriate personnel. 14. Assists employees with review of personnel files. 15. Coordinates record retention of all Human Resources files and materials. 16. Participates in appropriate human resources training sessions and attends various college meetings. 17. Assists the VPHR and/or other human resources staff members with administrative tasks. 18. May serve on search teams, college committees, and/or attend job fairs. 19. Performs related duties as assigned. Education/Experience High school diploma or general education degree ( GED ) or high school equivalency required. Associate's degree or higher preferred. Minimum of three (3) years of experience in human resources, related experience as an administrative assistant, or experience in a customer service environment required. Qualifications In addition to the above requirements, the following qualifications are sought: Ability to work with minimal supervision, exercise good judgment and initiative, and handle multiple tasks; ability to work as a team with flexibility and independently as needed Strong interpersonal skills with ability to work collaboratively and cooperatively with a variety of individuals Ability to handle confidential material with discretion and maintain confidence Proficient data entry and keyboarding ability utilizing MS Office and other software Strong attention to detail Excellent organizational skills and time management skills Proficiency with computers and ability to use multiple software applications Excellent written, verbal, interpersonal, and computational skills HR-related skills/knowledge preferred Bilingual skills welcomed Software and skills proficiency testing for the specific position will be required as a condition of employment. Skills proficiency testing my be requested of candidates for consideration during interview process.
