Position Summary:
We are seeking a detail-oriented and proactive HR Coordinator to support the daily operations of the Human Resources department. This role plays a key part in ensuring smooth HR processes, providing administrative and operational support, and fostering a positive employee experience from onboarding through ongoing employment. The HR Coordinator works closely with the Operations Manager, assisting with the oversight and support of Key Players and Care Professionals. The ideal candidate is highly organized, service-driven, and passionate about human resources, with the ability to manage multiple priorities while maintaining accuracy, confidentiality, and a people-first approach.
Primary Responsibilities:
Assist with day-to-day HR operations, including managing files, preparing documents, and maintaining employee records. Conduct initial screenings and interviews. Assessing candidate skills, experience, and cultural fit for the organization. Support the recruitment process by coordinating communication with candidates and preparing onboarding materials. Serve as a point of contact for employee inquiries and leads, providing information on HR policies, procedures, and benefits. Maintain and update HR databases, ensuring accuracy and confidentiality of employee information. Assist in organizing training sessions and employee development programs, including logistics and materials preparation. Completing retention calls and cards in a timely manner. Maintain Leave of Absence for Care Professionals. Log referral bonuses in tracking sheet. Maintain Incident Reports and send them in a timely manner. Evaluate and update all training materials as needed. Send out monthly Care Professional birthday cards. Participate in meetings with scheduling to for Care Professional engagement. Quarterly drug screens for Care Professionals. Update Care Professional raises in WellSky. Maintain electronic Care Professional files. Keeping up with valid driver's license and insurance for Care Professionals. Help ensure compliance with labor laws and regulations by assisting with audits and maintaining proper documentation. Provide general administrative support to the HR team, including scheduling meetings, managing calendars, and ordering office supplies. Assist in caregiver introductions with clients. Following the Home Instead Standards; conduct reference checks, criminal background and motor vehicle check and drug screens on all Care Pros. Help maintain employment records including but not limited to I-9 form, W-4 form and all other employment related documents. Support Training Coordinator as needed with required training to meet Home Instead Standards. Demonstrate open and effective communication with the franchise owner, colleagues, Care Pros, clients and family members. Adhere to all company policies, procedures and business ethics codes and ensures that they are communicated and implemented within the team. Support and promote all social purpose events. Develop and maintain knowledge of Home Instead brand ensuring consistent messaging across all digital platforms. Reflect the core values of Gorman LLC. Qualifications:
High School diploma. Possess a valid driver license. 1-2 years of experience in an administrative or HR supported role. Strong organizational skills with the ability to manage multiple tasks and deadlines. Excellent verbal and written communication skills. Proficiency in Microsoft Office (Word, Excel, PowerPoint) and experience with HR software or databases is a plus. Strong attention to detail and problem-solving abilities. Ability to maintain confidentiality and handle sensitive information with discretion. Ability to work independently and collaboratively in a fast-paced environment. Demonstrate effective interpersonal skills as well as sound judgment and good decision-making skills. The ability to organize and prioritize daily, monthly, quarterly, and yearly work. Present a professional appearance and demeanor.
Knowledge, Skills, And Abilities:
Must understand and uphold the policies and procedures established by Home Instead. Must demonstrate excellent oral and written communication skills and the ability to listen effectively. Must have the ability to work independently, maintain confidentiality of information and meet deadlines. Must demonstrate effective interpersonal skills as well as sound judgement and good decision-making skills. Must demonstrate discretion, integrity, and fair open-mindedness consistent with company standards, practices, policies, and procedures. must present professional appearance and demeanor. Must be able to operate office equipment. Must be able to operate Home Instead technology. Must be able to work weekends and evenings as required. Must be able to perform duties in a professional office setting.
