Job Description
Summary The Receptionist / HR Administrative Assistant is an integral part of our fast paced, deadline driven team and provides administrative support to ManagedPAY's Human Resources and Operations Department. As our "Director of First Impressions", your focus is to provide excellent customer service in the areas of screening and routing calls to the appropriate departments; welcoming visitors; assist with administrative tasks including but not limited to data entry; prepare new hire packets; office supplies; and coordinate office equipment maintenance.
Key Accountabilities:
- Direct calls to appropriate departments
- Greet visitors
- Distribute and track incoming / outgoing deliveries/mail/faxes
- Manage and maintain inventory of office and breakroom supplies
- Coordinate office equipment maintenance and repair
- Assist with filing / scanning documents
- Maintain internal phone directory
- Assist with Human Resources or Benefits related administrative tasks
- "Karma Team", employee activities ambassador
- Assist other departments with projects Your Background includes Graduation from high school and one (1) to two (2) years of progressively responsible related Clerical and Data Entry experience, or any equivalent combination of training and experience that provides the required knowledge, skills and abilities Data entry experience with an ability to record data accurately and efficiently Excellent verbal and written communication skills, including outstanding telephone etiquette Superb multi-tasker; strong organizational skills with a keen eye towards detail and follow up Creative and analytical Process oriented and solution driven, analytical and detail oriented Effective judgment and ability to handle and maintain confidential information Computer savvy; skilled working in Microsoft Applications•Word, Excel and Outlook; comfortable working with HRIS systems and databases Essential Requirements Interest and capability to work in a fast paced, multi client and deadline driven environment Capacity to communicate clearly and concisely•to read, write, and speak English at an appropriate business level, Bi-lingual abilities•"Spanish" required Capability and willingness to provide excellence in customer service both internally and externally Strong team player with the ability to work independently Must have the ability to act with discretion and willingness to maintain a high level of confidentiality Ability to operate standard business equipment including telephones, computers, copiers, faxes, etc.
