Job Description

Essential Duties and Responsibilities Hours 37.5 base schedule weekly, 7 am to 3:00 pm, 7:30 am to 3:30 pm or 8 am to 4 pm Payroll Administration Process weekly payroll accurately and timely for union and non-union employees. Review, maintain and verify employee timekeeping records, attendance, and payroll data, this requires interaction with supervisors as needed. Process new hires, terminations, salary changes, promotions, and deductions in the payroll system as PAF's flow through to payroll. Ensure compliance with internal policies related to payroll regulations. Reconcile, or run payroll reports and investigate discrepancies. Respond to employee payroll inquiries and resolve payroll-related issues. Partner with Finance and Accounting to ensure accurate payroll reporting where applicable. Leave Administration Administer Family and Medical Leave Act (FMLA). Review leave requests and determine eligibility according to applicable laws and company policies. Comply with FMLA regulations surrounding timelines, running eligibility requirement hours, tracking leaves and supplying appropriate FMLA forms. Supply New York Paid Family Leave (PFL) forms, ADA accommodations forms, disability claim forms, and other leave programs forms as needed. Review all forms for accuracy before submitting to the vendor for their review/approval/payment. Maintain accurate leave records and documentation. Communicate leave rights, responsibilities, and benefits continuation requirements to employees. Coordinate return-to-work processes and fitness-for-duty documentation. Monitor leave balances and ensure accurate tracking and reporting. Collaborate with managers regarding employee leave schedules and workforce planning. Human Resources Support/Compliance & Recordkeeping Maintain employee records in the HRIS payroll database. Works with benefits specialist related to payroll. Prepare payroll reports, metrics, and compliance documentation. Assist with audits related to payroll, leave administration, and personnel records. Maintain confidentiality of employee information related to payroll and leaves. Provide excellent customer service to employees and management. Ensure compliance with federal, state, and local employment laws. Maintain required payroll and leave records in accordance with retention guidelines. Stay current on payroll regulations, leave laws, and employment legislation surrounding leaves. Assist in policy development and implementation related to payroll and leave administration if needed. This position plays a critical role in ensuring employees are paid accurately and supported throughout leave events while maintaining compliance with all applicable employment laws and regulations. Education and Experience Associate's degree in Human Resources, Business Administration, Accounting, or related field required; Bachelor's degree preferred. Minimum of 2 years of electronic payroll administration experience required. Minimum of 2 years of FMLA leave administration experience preferred. Experience in healthcare, long-term care, or multi-site environments a plus Experience with HRIS and payroll systems, Paycom a plus. Knowledge, Skills, and Abilities Strong verbal and written communication skills. Excellent organizational and time management skills. Strong knowledge of payroll processing. Knowledgeable with FMLA Regulations. Familiarity with Workers' Compensation, New York Paid Family Leave, DBL regulations. Proficiency in Microsoft Office Suite, Intermediate to advanced proficiency with Excel Experience with HRIS, timekeeping, and payroll software. Strong attention to detail and accuracy. Ability to maintain confidentiality and handle sensitive information. Ability to manage multiple priorities and meet deadlines. Strong problem-solving and customer service skills.
