This position plays a critical role in maintaining financial accuracy, regulatory compliance, operational efficiency, and a positive workplace culture. The successful candidate will work closely with hotel leadership, corporate support teams, ownership, and department leaders to ensure the property operates efficiently while delivering exceptional service to both guests and associates. Position Summary As the Operations Administrator (Finance & HR) , you will serve as a key administrative leader for the hotel, with dual responsibility for accounting/finance and human resources . You will help ensure the property remains compliant with applicable laws, company policies, brand standards, and internal controls while supporting a people-first culture. The ideal candidate is highly organized, detail-oriented, discreet, and comfortable balancing financial responsibilities with employee and operational needs. Key ResponsibilitiesAccounting & Financial Administration — Oversee property-level accounting functions in accordance with U.S. GAAP, company internal controls, and hotel brand financial requirements. Ensure daily income audit, accounts payable, accounts receivable, and general ledger activities are completed accurately and on time. Prepare and submit required financial reports, including daily revenue summaries, labor reports, flash reports, and monthly financial reporting. Partner with the General Manager and corporate finance team on budgeting, forecasting, capital planning, and month-end closing. Reconcile bank accounts and perform internal audits to ensure compliance with company policies and procedures. Monitor cash, credit card, deposits, and other financial transactions in accordance with secure payment-handling requirements. Monitor key financial and operational performance indicators and communicate significant variances to hotel leadership. Review payroll and labor costs for accuracy and alignment with approved staffing and budget expectations. Assist with annual budgets, financial forecasts, audits, and other accounting projects as needed. Maintain organized and confidential financial records and supporting documentation. Human Resources Administration & Compliance — Manage employee lifecycle processes, including recruitment support, onboarding, transfers, status changes, and offboarding. Maintain confidential personnel records and ensure required employment documentation is complete and properly maintained. Ensure compliance with applicable federal, state of Oklahoma, and local employment laws and regulations. Maintain and audit employment records, including I-9s, employee files, required workplace postings, and other compliance documentation. Administer and monitor payroll, benefits, PTO, attendance, and employee status changes in coordination with corporate HR and payroll providers. Serve as a liaison between hotel leadership and corporate HR regarding employee relations, investigations, disciplinary actions, and performance improvement plans. Coordinate required employee training, compliance programs, safety initiatives, and workplace policies. Support managers with performance management, employee communications, and policy interpretation. Assist with workers' compensation, unemployment claims, workplace safety documentation, and other HR-related matters. Promote a respectful, inclusive, and service-oriented workplace culture. Maintain strict confidentiality regarding employee, payroll, financial, and company information. Brand & Hotel Culture Serve as a culture ambassador for the hotel by incorporating the Embassy Suites service philosophy into onboarding, training, communication, and associate recognition. Support consistent adherence to brand standards, company policies, operational procedures, and guest-service expectations. Coordinate with corporate and brand support teams during financial, operational, safety, and quality audits. Support hotel leadership in achieving guest satisfaction, financial performance, associate engagement, and operational goals. Promote teamwork and a culture of hospitality among all departments. Qualifications Associate's or Bachelor's degree in Accounting, Finance, Hospitality Management, Business Administration, Human Resources, or a related field preferred. 3+ years of hospitality accounting, hotel administration, HR, or related experience preferred , ideally in a full-service hotel environment. Previous experience working across both accounting/finance and human resources functions strongly preferred. Strong understanding of hotel accounting, payroll administration, employee records, and operational controls. Experience with accounting and hotel systems such as M3, QuickBooks, Opera, Micros, or similar platforms preferred. Experience with payroll and HR systems such as ADP, Paychex, UKG, or similar platforms preferred. Working knowledge of federal and Oklahoma employment laws and HR practices . Strong analytical, organizational, and problem-solving skills. Exceptional attention to detail and accuracy. Excellent written and verbal communication skills. Ability to handle confidential information with professionalism and discretion. Ability to manage multiple priorities in a fast-paced, guest-service-oriented environment. Strong interpersonal skills and the ability to work effectively with associates, managers, ownership, and corporate leadership. Work Environment On-property, full-time position at Embassy Suites Tulsa. Standard schedule is Monday-Friday, with flexibility to support operational, payroll, month-end closing, audit, or employee-relations needs outside normal business hours when necessary. Occasional evening, weekend, or holiday support may be required based on hotel operational needs. May involve occasional travel for company training, meetings, or compliance events.
