Responsibilities:
Position Overview:
REI Systems is seeking a highly organized, dependable, and customer-focused Administrative Assistant - Front Desk & HR Support to serve as the face of the organization at our Sterling office. This role is responsible for managing front desk operations while also providing critical administrative and HR operational support across the employee lifecycle. The ideal candidate thrives in a fast-paced environment, demonstrates strong attention to detail, and is able to balance multiple priorities while maintaining a high level of professionalism and service excellence.Key Responsibilities:
Front Desk & Office Operations Serve as the first point of contact for all visitors, candidates, and employees, ensuring a welcoming and professional experience. Manage incoming calls, emails, and inquiries; route calls appropriately including directing customer support inquiries to designated helpdesk contacts. Maintain front office coverage and ensure smooth day-to-day operations. Coordinate visitor check-in, badge management, and security protocols. Maintain office calendar and conference room scheduling. Administrative Support Provide administrative support to leadership, HR, and corporate departments. Prepare and distribute internal communications. Maintain administrative procedures and documentation. Organize filing systems and records. Perform general administrative duties. Office & Facilities Coordination Manage office supplies and inventory. Coordinate equipment maintenance and vendors. Maintain common areas and office cleanliness. Manage mail and package distribution. HR Operations Support Support onboarding and new hire coordination. Assist with interview scheduling and candidate experience. Maintain employee records and HR data updates. Support offboarding processes. Meetings & Events Coordination Coordinate meetings, town halls, and corporate events. Research vendors and assist with logistics. Support employee engagement initiatives. Reporting & Executive Support Conduct research and support reporting needs. Assist with presentations and leadership materials. Process Improvement & Systems Support Identify process improvements. Support digital tools and workflow efficiency. Ensure data accuracy across systems. Required Qualifications:
2-4 years of relevant experience MS Office proficiency Strong multitasking and communication skills Ability to work in a fast-paced environmentPreferred Qualifications:
HR process experience Corporate environment experience Familiarity with HR systemsEducation:
Associate or Bachelor's degree in business, human resources, or other related field.Clearance:
Ability to obtain and maintain a clearance is preferred.Citizenship:
Must be a US citizen or Permanent Resident.Location:
