Position Overview:
The Part-Time HR Assistant and Receptionist provides administrative support to Human Resources while serving as a welcoming and professional first point of contact for employees, applicants, visitors, and vendors. This position helps coordinate recruiting activities, maintains information in the UKG human resources system, assists with invoice processing and payment, and performs general office and HR duties with accuracy, discretion, and a service-oriented approach.
Work Schedule:
This is a part-time, on-site position. Regular availability and attendance are required on Thursdays and Fridays , along with a few additional hours on another weekday based on business needs and a mutually agreed schedule, up to 25 hours per week.
Primary Essential Job Duties:
Greet visitors, applicants, employees, and vendors in a professional and courteous manner. Answer, screen, and route incoming calls; receive and distribute mail, packages, and deliveries. Maintain a neat, organized, and welcoming reception area. Support recruiting by posting openings, reviewing applications as directed, communicating with candidates, scheduling interviews, and coordinating interview logistics. Assist with pre-employment and onboarding activities, including preparing documents, collecting required information, and coordinating orientation schedules. Enter, update, and maintain employee and applicant information in UKG while following established procedures and protecting confidential information. Assist employees and managers with routine UKG questions and route complex issues to the appropriate HR team member. Help maintain accurate electronic and paper HR files, records, forms, and reports. Process invoices and assist with bill payment by verifying information, obtaining approvals, entering data, organizing supporting documentation, and tracking payment status. Provide general administrative support, including scheduling, filing, scanning, data entry, preparing correspondence, ordering supplies, and assisting with meetings or special projects. Follow company policies, internal controls, and applicable confidentiality requirements. Perform other duties as assigned.
Required Skills and Abilities:
High school diploma or equivalent required; additional education or training in human resources, business administration, accounting, or a related field is preferred. Previous experience in reception, administrative support, human resources, recruiting coordination, accounts payable, or a similar role is preferred. Experience with UKG or another HR information system is preferred. Working knowledge of Microsoft Outlook, Word, and Excel. Strong organizational skills and attention to detail, with the ability to manage multiple priorities and meet deadlines. Clear, professional verbal and written communication skills. Sound judgment and the ability to handle employee, applicant, and financial information with discretion and confidentiality. Dependable attendance and the ability to work the required Thursday and Friday schedule. Ability to pass drug screen and background check.
Physical Requirements:
This role regularly requires sitting, standing, walking, using a computer and telephone, and communicating with others in an office environment. The employee must be able to perform the essential functions of the position, with or without reasonable accommodation.
